About The Position

The Contract Administrator supports the Contracts Manager by coordinating and administering construction contracts, bids, and related financial and project documentation. This role plays a critical part in ensuring accuracy, compliance, and efficiency throughout the construction project lifecycle, from bid submission through project closeout.

Requirements

  • Strong attention to detail with the ability to manage multiple priorities
  • Basic accounting and financial knowledge
  • Proficiency with Microsoft Office (Excel, Word, Outlook, PowerPoint)
  • Comfortable working with construction and financial software systems (e.g., ViewPoint, B2W, EBO, OnBase)
  • Excellent communication, interpersonal, and organizational skills
  • Ability to work independently in a fast-paced, high-pressure, team-oriented environment
  • Professional demeanor and ability to interact effectively with subcontractors, state officials, and internal teams

Responsibilities

  • Manage and coordinate the bidding process, including researching bid opportunities, compiling bid packages, reviewing submissions for accuracy, coordinating deliveries, communicating bid results, and maintaining bid records.
  • Draft, review, and administer contracts, subcontracts, purchase orders, and change orders while ensuring compliance with contractual terms and requirements.
  • Maintain organized and compliant construction records throughout all project phases, from pre-construction to closeout.
  • Review daily production reports, material batch reports, and job progress documentation for accuracy.
  • Process and review project invoicing, subcontractor quantities, payments, and project financial reports, including profit and loss statements.
  • Create and maintain spreadsheets, logs, and tracking tools related to job costs, crew production, and project documentation.
  • Assist with weekly and monthly financial reporting and project setup, including exporting/importing data between systems such as B2W and Viewpoint.
  • Request and track insurance certificates, bid bonds, and performance and payment bonds.
  • Support Project Managers, Superintendents, Estimators, MassDOT Resident Engineers, and other project stakeholders as needed.
  • Perform additional contract and project-related administrative duties as assigned.
