We are looking for a driven and capable Contracts Administrator to support large-scale data center construction projects in an owner’s representative capacity. This role will manage design consultant agreements, maintain the campus-wide contracts register, and control formal contractual correspondence across the program. The ideal candidate has strong contract and commercial administration experience and can ensure that consultants' deliverables, fee amendments, scope changes, notice obligations, key contractual dates, and formal correspondence are accurately tracked and properly documented. This is a hands-on, project-facing owner’s representative role focused on consultant agreement administration, contractual recordkeeping, notice compliance, and document discipline. The role requires exceptional organization and the ability to manage between 15 and 25 active agreements simultaneously without missing critical contractual deadlines or obligations. Requirements

  • Bachelor’s degree in Construction Management, Engineering, Business, Legal Studies, Quantity Surveying, or related fields.
  • 7+ years of experience in contract administration, commercial administration, consultant agreement management, document control, or related contractual functions.
  • Experience administering design consultant agreements involving architectural, structural, MEP, civil, or specialist disciplines.
  • Experience tracking contractual deliverables, fee amendments, scope changes, notice obligations, key dates, and agreement expiry requirements.
  • Strong experience maintaining contract registers, correspondence logs, agreement files, and audit-ready contractual records.
  • Ability to correctly control, number, timestamp, file, and track formal contractual notices, responses, and commercial correspondence.
  • Ability to manage multiple active agreements simultaneously while maintaining accuracy and meeting contractual deadlines.
  • Strong understanding of notice tracking, deliverable tracking, consultant obligations, scope administration, and contractual document control.
  • Exceptional organization, attention to detail, document discipline, follow-up, and time-management skills.
  • Ability to identify missed deadlines, unfulfilled obligations, incomplete records, and other contractual administration risks.
  • Strong written and verbal communication skills and the ability to coordinate with consultants, project teams, commercial teams, and client stakeholders.

Nice To Haves

  • Experience with contract management, document management, or project management systems such as Procore, Unifier, e-Builder, Kahua, Oracle, Smartsheet, or similar platforms preferred.
  • Owner-side, owner’s representative, developer, or program management experience.
  • Data center or mission-critical construction experience.
  • Experience in oil and gas, power, commercial real estate development, or other complex capital program environments.
  • Experience managing multidisciplinary design consultant agreements across a large campus or multi-project program.
  • Experience supporting contractual audits, commercial reporting, or program-wide agreement administration.

Responsibilities

  • Administer design consultant agreements on behalf of the Owner, including agreements with architectural, structural, MEP, civil, and specialist consultants.
  • Track consultant deliverable milestones, fee amendments, scope changes, notice requirements, and other key contractual obligations.
  • Maintain the campus-wide contracts register, ensuring every executed agreement is recorded with its key dates, obligations, amendments, and expiry information.
  • Manage the formal contractual correspondence log, ensuring every notice, response, and commercial letter is correctly numbered, timestamped, filed, and traceable from the beginning of the project.
  • Monitor contractual deadlines and outstanding consultant obligations, escalating missed or upcoming requirements that may affect project delivery or the Owner’s contractual position.
  • Maintain accurate, complete, and audit-ready agreement files, registers, correspondence records, and supporting documentation.
  • Independently manage multiple active agreements simultaneously while maintaining consistent document control and contractual administration standards.
  • Own and maintain the OFCI Responsibility Matrix documentation, ensuring all interface obligations between owner-purchased equipment, vendors, and the GC are accurately recorded, current, and accessible to the contracts team at all times.
