About The Position

Contract Administrators primarily review, negotiate, and manage a range of customer and vendor contracts. They support the sales, supply chain, and operations teams to capitalize on new opportunities while maintaining alignment with the company’s risk tolerance and policies. They may interface directly with customers or may provide internal advice which is then implemented by other teams. Secondary responsibilities include supporting the change order process, collecting deliverables from subcontractors, resolving disputes, and maintaining accurate records. Strong communication and organizational skills are crucial for successful coordination between sales, legal, and other departments, and for advancing the company’s interests while preserving goodwill with its customers and vendors.

Requirements

  • Excellent written, verbal, telephonic and digital communication with superb customer service skills
  • Methodically and strategically approaching problems and tasks and making quick decisions to solve challenges
  • Balancing workloads and time constraints, while managing/delegating as needed.
  • The ability to notice problems and the root causes early, produce a plan to correct the issue found. Efficient use of time and resources to implement the pre thought out plan.
  • The ability to spot details at close and far range, noticing settings, operations, and site conditions that are different than the norm and adjust accordingly.
  • Strong industry experience with reputable employers in contract administration, contract management, or a related role, with a proven track record of successfully managing the contract administration process.
  • Familiarity with construction and/or technical service industry practices, contract administration processes, negotiation techniques, and key legal concepts applicable to contracts.
  • Organized, diligent, and able to track and manage multiple streams of information on an ongoing basis.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with diverse stakeholders at all levels in the organization.
  • A self-starter with a proactive, analytical mindset and the ability to work independently and thrive in a fast-paced, dynamic environment.

  • Formal education in business or legal subjects is welcome but will be considered holistically with prior experience.

Responsibilities

  • Review and negotiate customer and vendor contracts while ensuring accuracy, completeness, and alignment with applicable law and company policies.
  • Work closely with sales, operations, legal, and finance teams to understand customer needs, address commercial concerns, and tailor contract terms to meet specific requirements.
  • Oversee subcontract administration matters, such as collecting statutory declarations and lien waivers.
  • Monitor compliance with exception reporting and approval processes under the relevant Delegation of Authority policy.
  • Maintain accurate and organized records, including contracts, amendments, material correspondence, and supporting documentation.
  • Effectively communicate contract terms and conditions to relevant internal parties.
  • Support the continuous improvement of the contracting process, including contributing to playbooks, precedents, and training materials.
  • Stay informed about industry best practices and changes in contract law, actively seeking ways to improve contract administration processes.
  • Generate reports on contract performance, status, and key metrics for management review and decision-making.
