Requirements

  • Bachelor’s degree in business administration, computer science, or related field.
  • Two (2) years of experience in working with or on contract and compliance issues. (A combination of education and work experience may be taken into consideration at management’s discretion.
  • Demonstrated experience in office procedures and related clerical duties.
  • Knowledge of database management.
  • Ability to multitask with minimal supervision in a fast-paced environment.
  • Ability to work independently or in collaboration with others.
  • Ability to work with others by training, supporting, and assisting to achieve objectives
  • Ability to communicate effectively through verbal or written correspondence.
  • Ability to develop accurate and effective reports that may explain technical information.
  • Ability to work with computers and the necessary software typically used by the department.

Responsibilities

  • The Contract Administration Specialist is responsible for the administration of assigned contract documents, as well as assisting with regular auditing of the contract database and files and compiling ad hoc reports, as needed.
  • This position also provides administrative support related to maintaining accurate department records and supporting contract administration activities, including document tracking, data collection, and timely submissions.
  • The Contract Administration Specialist maintains accurate and complete data about the organization’s clients and assists with technical processing of contracts and related documents in the digital library, hard copy library, and contract database.
  • Develops, prepares, and generates ongoing and ad-hoc special reports pertaining to contract administration requests.
  • The Contract Administration Specialist ensures data integrity by assisting with system maintenance and system audits.
  • Performs data entry and maintenance of computer files.
  • The Contract Administration Specialist responds to requests for information from the database in a timely and professional manner.
  • Prepares and formats documents for management signature.
  • The Contract Administration Specialist processes department information and maintains records on the database system.
  • Works with department management to facilitate timely and accurate document submissions.
  • Maintains Contract Administration trackers.
  • Provides clerical support throughout the lifecycle of assigned contracts by organizing, routing, tracking, and maintaining contracts and related documents.
  • Assists with data collection spreadsheets and recurring Contract Administration department reports.
  • Coordinates with Contract Administration to support streamlined and timely document submissions.
  • Reads and researches client contracts and corporate policies, as directed, to support department records and requests.
  • Performs other duties as assigned.
