About The Position

JLL is seeking a Construction Project Coordinator to support the Projects Program across the East region of a client account in JLL’s Technology Division. The client is one of the Big 4 accounting firms. The role supports the account’s “one process, every project” standard in partnership with the client’s National Real Estate Team and Office Services Leaders (OSLs). The coordinator should have enough construction project experience to follow discussions with project managers and general contractors, understand drawings, schedules, scope, and potential office impacts, and convert project information into organized support for OSLs. The position requires strong organization, comfort building and using AI prompts, and hands-on use of Microsoft Planner and SharePoint. The position is listed as remote in Atlanta, Charlotte, New York, Philadelphia, Tampa, or Washington, DC. The schedule is onsite Monday through Friday, 8 AM to 5 PM, with occasional travel to offices and project sites as needed. The role reports to the Facilities & Projects Program Director. Estimated compensation is $100,000–$120,000 per year plus an annual bonus. Visa sponsorship is not provided; candidates must be authorized to work in the United States without sponsorship.

Requirements

  • Bachelor’s degree in Construction Management, Engineering, Architecture, or a related field, or equivalent work experience.
  • At least 2 years of experience in construction, project coordination, project engineering, or an owner’s-representative role, with exposure sufficient to follow construction drawings, schedules, and scope discussions.
  • Exceptional organization and demonstrated ability to manage multiple concurrent projects, deadlines, and stakeholders without losing details.
  • Comfort using AI tools and building effective prompts for repeatable project documentation and follow-up; this is a core hands-on part of the role.
  • Working proficiency with Microsoft Planner for task and workflow tracking.
  • Experience building and maintaining SharePoint sites, including document libraries and site structure.
  • Strong written communication skills and ability to produce clear meeting notes, status updates, and closeout documentation.
  • Ability to work cross-functionally with OSLs, architects, engineers, designers, security, AV, and third-party project managers.
  • Proficiency with Microsoft 365, including Outlook, Teams, Excel, and Word.
  • Valid driver’s license and ability to travel to project sites as needed.
  • Must be authorized to work in the United States without visa sponsorship.

Nice To Haves

  • Prior experience with a general contractor, architecture firm, or construction management firm.
  • Experience supporting corporate real estate, workplace, or facilities projects, ideally for a professional services or financial services client.
  • Familiarity with CMMS platforms such as Corrigo, or experience with Procore, Bluebeam, Microsoft Project, or similar construction management platforms in addition to Microsoft Planner.

Responsibilities

  • Track regional projects through the defined phases—Due Diligence, Schematic Design, Construction Drawings, Page Turn, Pre-Construction, Construction, Substantial Completion, Pre-Office Opening, and Post-Construction—and confirm phase outcomes before projects proceed.
  • Ensure standard project documents, including the playbook, pre- and post-project sign-offs, execution checklists, and closeout packages, are used consistently across projects and providers.
  • Confirm that the agreed RACI is followed and that architects, engineers, security, WpX, facilities, AV, designers, and project managers are involved at the appropriate project stages.
  • Support scope sign-off and budget close-out during Pre-Construction, and track punch-list and warranty items through closure during Post-Construction.
  • Read and follow construction drawings, schedules, and scope documents to track progress, understand change orders and RFIs, and identify issues for escalation.
  • Attend construction meetings and project calls, record accurate notes and decisions, and track follow-up items.
  • Identify and promptly flag scope, schedule, and business-impact risks or project delays.
  • Keep Office Services Leaders informed and prepared for decisions, and track follow-up items through closure.
  • Prepare clear summaries of scope, options, and open items for OSLs ahead of decision points such as Page Turn and Pre-Construction sign-off.
  • Serve as an organized point of contact for OSLs and other stakeholders regarding project status and action items.
  • Build and maintain a SharePoint site for each project as the source of truth for documents, decisions, schedules, and photos.
  • Use Microsoft Planner to track tasks, owners, and due dates across active regional projects and keep the Director and stakeholders current on status.
  • Build and use AI prompts for consistent project delivery, including status summaries, meeting recap drafts, checklist reviews, and follow-up reminders.
  • Support the annual program refresher and audit process, identifying opportunities to improve processes, documentation, and tools.
  • Train internal team members and third-party project managers on standard project execution processes, documents, and tools.
  • Partner with the Facilities & Projects Director to organize and report on the East region’s project pipeline.
