About The Position

AECOM Hunt has an exciting opportunity for a professional construction Proposal Specialist to join our team in Indianapolis, IN. The Proposal Specialist will work in collaboration with business development and operations team on pursuits, including partnering in the preparation of formal and informal client solicitations, including expressions of interest (EOI), requests for qualifications (RFQ), requests for proposals (RFP), and pre-qualification efforts. The role involves coordinating the end-to-end process of proposal production with an emphasis on creative and accurate submissions. This includes leading kick-off meetings, organizing large teams, establishing writing assignments and internal deadlines, driving the process, keeping the team on schedule, helping with content development, proof-reading, editing, and working with in-house graphic designers. The specialist will interface with proposal teams to communicate win strategies, define section scopes, and determine key issues. They will also coordinate the preparation of client interview materials such as PowerPoint presentations, leave behinds, videos, and equipment, and assist pursuit teams in interview preparation, attending client interviews as necessary. Assistance and direction will be provided to graphic designers for graphics and videos. The role requires cultivating and maintaining good working relationships with all company associates, including executives, and assisting in the development of objectives and strategies to support corporate marketing and business goals. Responsibilities also include extracting, saving, and organizing boilerplate information in SharePoint, updating project and personnel information in Salesforce, and organizing/archiving final files. Enforcement of corporate marketing and branding standards and continuous expansion of industry knowledge and skills are also key aspects of the position.

Requirements

  • BA/BS Marketing, Communications, Journalism or related curriculum
  • 2 years of proposal experience or demonstrated equivalency of experience and/or education.
  • Strong writing, editing, and project management skills.
  • Ability to manage and prioritize multiple projects, and work under deadline pressure.
  • Ability to produce accurate, compliant, and compelling work independently and within a team.
  • Ability to exercise discretion with confidential/sensitive issues.

Nice To Haves

  • A strong working knowledge of Adobe InDesign and Microsoft PowerPoint.
  • Experience in the successful creation of RFQ/RFP submittals and supportive presentation materials.
  • Ability to travel occasionally.
  • Experience in the A/E/C industry.
  • Strong understanding of industry-specific procurement processes.
  • Working knowledge of Microsoft Word and Adobe Creative Suite programs (e.g., Acrobat, Photoshop and Illustrator).
  • A working knowledge of collaborative tools such as Microsoft Teams, SharePoint and Salesforce.

Responsibilities

  • Extract, save, and organize new or revised boilerplate information in SharePoint.
  • Update project and personnel information in Salesforce.
  • Organize and archive final files for future reference.
  • Enforce day-to-day implementation of corporate marketing and branding standards.
  • Continuously expand and update industry knowledge and hone skills to enhance individual and team innovation and productivity.
