About The Position

The Construction Administrative Assistant role offers an opportunity to build a career at the center of mission-critical construction projects supporting next-generation, renewable-powered data centers. In this position, you’ll provide essential administrative and documentation support to the construction team, helping keep complex projects organized, compliant, and moving forward on schedule. You’ll work closely with project leadership, construction managers, and site teams to manage records, support communication, and ensure day-to-day workflows run smoothly in a fast-paced construction environment. Requirements

  • High school diploma or equivalent.
  • Minimum 2 years of administrative experience, with exposure to construction or project environments preferred.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
  • Familiarity with project documentation or filing systems is a plus.
  • Strong organizational skills and attention to detail.
  • Good verbal and written communication skills.
  • Proactive attitude and willingness to take initiative on tasks.
  • Ability to handle sensitive and confidential information responsibly.
  • Must provide own steel-toed work boots; other PPE will be supplied.
  • Must be able to reliably commute to the work site daily or have plans to relocate before starting work.

Responsibilities

  • Maintain organized electronic and physical filing systems for project records, permits, and correspondence, ensuring easy retrieval.
  • Provide direct administrative support to project team members as directed.
  • Serve as an initial point of contact for routine internal and external inquiries, directing complex matters to the appropriate construction leadership or the Senior Administrative Assistant.
  • Assist in preparing for construction meetings, including setting up meeting spaces, compiling basic materials, distributing agendas, and assisting with taking and distributing routine meeting minutes.
  • Process routine administrative tasks related to procurement, such as creating basic purchase requisitions and tracking invoices under supervision.
  • Assist in managing safety-related documentation, including filing safety meeting logs and compliance records.
  • Coordinate basic site logistics, including ordering office supplies and assisting with the setup/onboarding of new site personnel and contractors.
  • Gather and organize data for project tracking and assist the Senior Construction Administrative Assistant in preparing routine progress reports.
  • Handle confidential project and personnel information with professionalism and discretion.
