About The Position

The Compliance Program Coordinator serves as the primary administrative support for the AICPA Peer Review Program at PICPA, ensuring compliance with national standards and delivering exceptional and knowledgeable service to member firms, reviewers, and committee stakeholders. This role manages critical workflows within the AICPS’s web-based peer review management system (“PRIMA”), facilitates peer review scheduling and documentation, coordinates committee activities, and maintains accurate billing and communication processes. With a strong attention to detail and a commitment to professional excellence, the Coordinator plays a key role in upholding the integrity and effectiveness of the peer review process.

Requirements

  • Four-year college degree preferred: business, administrative, no specific major. Equivalent related experience may be considered.
  • Proficiency in MS Office Software (Outlook, Word, Excel, Teams)
  • At least 5 years of administrative or related experience.
  • Organizational, interpersonal, communication abilities (including strong written and verbal communication) and solid team participation/client service skills.
  • Effective time management and ability to meet deadlines.
  • Strong analytical and problem-solving skills.
  • Detail oriented.
  • Ability to prioritize and manage multiple responsibilities efficiently while successfully adapting to changing priorities.
  • Must learn administrative requirements of the AICPA Peer Review Program and related proprietary program management system (e.g., PRIMA and Sharepoint). Also, responsible for learning PICPA member service system, Aptify.
  • Strong and confident interpersonal skills.

Responsibilities

  • Completes the administrative aspects of the AICPA Peer Review Program in accordance with the AICPA requirements.
  • Monitors and completes administrative cases in PRIMA to ensure benchmark compliance, while adhering to administrative team best practices by prioritizing early completion.
  • Monitors and supports implementation administrative changes communicated by the AICPA.
  • Provides administrative support to firms and reviewers for input of data and materials into PRIMA (e.g., firm creation, enrollment, peer review information, scheduling information, firm extension requests, and workpaper submission) and consistently monitoring and resolving all other administrative cases in PRIMA.
  • Performs timely follow-up on late peer review submissions and scheduling cases, and initiates required administrative actions in PRIMA in accordance with established procedures (e.g., reviewer restriction, firm noncooperation, etc.).
  • Creates, organizes, and maintains peer review files, including file breakdowns and administrative reviews of workpapers.
  • Monitors and follows up with firms regarding hearing cases in PRIMA; assists in preparing hearing packages for review by the PICPA Peer Review Committee or Report Acceptance Body (RAB); and submits approved hearing case packages to the AICPA for hearing panel review.
  • Monitors the peer review email inbox and ensure timely responses to all requests.
  • Invoices and track high-risk surcharges; monitors and follows up on all outstanding peer review fees through phone calls and email; and responds to billing-related inquiries.
  • Assists the Peer Review Administration Manager with administrative tasks and special projects, including billing reconciliation, maintenance of the peer reviewer directory, and preparation of hearing packages.
  • Provides administrative support to the Peer Review Administration Manager and the Professional & Technical Standards Team to support the implementation of strategic goals.
  • Assists in the development and maintenance of training documentation and assists training, as needed, within the peer review team and to other administering entities.
  • Provides administrative support to other state societies, as needed.
  • Maintains a working knowledge of different state licensing requirements applicable to PICPA peer review firms and how those requirements differ from AICPA peer review standards and membership requirements to better support and guide peer review firms.
  • Provides administrative/project support to the Professional & Technical Standards Team, as needed.
  • Provides administrative support for the Peer Review Committee, including monitoring reviewer qualifications, coordinating the annual RAB and committee schedule, obtaining required confidentiality agreements, and coordinating peer review oversights.
  • Coordinates the RAB review and acceptance of extension requests and year-end changes.
  • Assists in documenting compliance with AICPA confidentiality requirements for administrators and for the NY Peer Review Oversight Committee.
