About The Position

This role provides critical compliance and systems support for field operations by managing XRS user and site setup, troubleshooting issues, and maintaining accurate driver and equipment records. The Compliance and XRS Support Specialist collaborates closely with operating companies, safety leadership, and mobile communications teams to ensure regulatory compliance, accurate reporting, and responsive customer service.

Requirements

  • Experience with compliance, compliance documentation, and compliance management in an operational or transportation-focused environment.
  • Hands-on experience with reporting software and generating operational and compliance reports.
  • Demonstrated ability to manage mobile communications equipment needs, including inventory management and coordination of installs and removals.
  • Experience processing work orders and purchase orders and coordinating invoice processing with accounting.
  • Strong customer service skills with the ability to support internal business partners and operating companies.
  • Proficiency with the Microsoft Office suite, including working knowledge of Excel, Word, and Outlook.
  • Ability to perform data analysis and create reports, including the use of pivot tables.
  • Strong administrative support skills, including organization, documentation, and follow-through.
  • Good written and oral communication skills, with the ability to clearly convey information to field personnel and corporate stakeholders.
  • Ability to provide backup support for compliance functions such as Hours of Service assistance and related compliance activities.

Nice To Haves

  • Experience working with XRS or similar telematics and compliance systems.
  • Familiarity with safety and compliance reporting, including metrics such as hard braking, speeding, and unassigned vehicle activity.
  • Experience maintaining certification records, such as lift operator certifications.
  • Background in verification of previous employment or similar compliance-related documentation processes.
  • Comfort working on special projects for safety and mobile communications leadership.
  • Strong attention to detail and accuracy when managing driver records, equipment inventories, and compliance documentation.
  • Ability to work collaboratively with multiple operating companies and business partners.
  • Flexibility to handle other duties as assigned in a dynamic corporate environment.

Responsibilities

  • Set up and maintain XRS users and site configurations to support field operations.
  • Troubleshoot XRS issues for field personnel and coordinate with XRS support as needed to resolve problems promptly.
  • Configure, monitor, and manage XRS alerts, ensuring appropriate notifications are sent to the field.
  • Run and review XRS reports, including drivers not logged in within the last 14 days, and follow up on exceptions.
  • Update XRS driver records with current information, including changing driver IDs and driver passwords as required.
  • Assist operating companies in recovering XRS equipment when owner-operators depart.
  • Monitor and alert field teams when Personal Conveyance or Adverse Conditions are used, ensuring appropriate follow-up and documentation.
  • Generate and analyze XRS reports related to hard braking, speeding, and other key safety metrics.
  • Communicate weekly with each operating company regarding unassigned vehicle activity (UVA) to ensure accurate assignment and documentation.
  • Communicate with each operating company about mileage discrepancies and support their resolution.
  • Assist the Safety Director with special projects related to compliance and safety initiatives.
  • Support the Mobile Communications Manager with special projects, including system enhancements and process improvements.
  • Maintain and manage lift operator certification records to ensure they remain current and compliant.
  • Handle verification of previous employment responses as part of compliance documentation.
  • Manage mobile communications equipment needs, including inventory control, processing work orders and purchase orders for installs and removals, and coordinating with accounting to ensure timely invoice processing and payment.
  • Provide responsive customer support to business partners and operating companies, addressing questions and resolving issues related to compliance and XRS usage.
  • Serve as backup for other compliance functions, including Hours of Service (HOS) assistance and related compliance activities.
  • Perform administrative support tasks, including data entry, report generation, and documentation management.
  • Analyze data and prepare reports using reporting software and Microsoft Office tools, including pivot tables and other analytical features.
  • Complete other duties as assigned to support the broader compliance and operations teams.
