About The Position

Under the direction of the presiding judge and the day-to-day supervision of the community court grant administrator, the Community Court Administrative Assistant will work with community court participants and service providers to screen participants for Community Court. The Community Court Administrative Assistant will perform administrative job functions related to the Court including, but not limited to, interacting with defendants, reconciling data for grant reporting, screening for community court eligibility, and completing other administrative tasks. This is a grant funded, full-time position.

Requirements

  • Knowledge of office and administrative practices and procedures.
  • Skill in using PC Software including current Microsoft Office Suite of applications.
  • Skill in communicating professionally and tactfully with other city employees and the public by oral and written means.
  • Skill with organization and attention to detail.
  • Ability to exercise discretion and independent judgment utilizing knowledge of the organization's policies.
  • Ability to work independently under general instructions.
  • Ability to perform a variety of physical skills including but not limited to filing, pulling, seeing, sorting, squatting, standing, stooping, twisting body, typing, walking, and writing.
  • Ability to operate a variety of office equipment including but not limited to PC, telephone, calculator, scanner, and copier.
  • Ability to prioritize deadlines and tasks.
  • Ability to learn new systems and procedures quickly.
  • Ability to plan, organize, monitor, and collaborate with internal and external stakeholders to accomplish unit objectives.
  • Ability to understand mathematical calculations involving fractions, percentages, and decimals.
  • Ability to work within a set schedule.
  • Associates degree or any equivalent combination of education and experience

Nice To Haves

  • Experience with InCode or similar court management system.
  • Bilingual skills in English and Spanish.
  • Court experience is preferred.

Responsibilities

  • Assist with data for grant reconciliation as necessary
  • Scans required documents
  • Inputs data into spreadsheets
  • Places reminder calls for upcoming court dates
  • Administers exit surveys to Defendants
  • Screens Defendants for Community Court eligibility
  • Talks with Defendants about Community Court
  • Prepares mail outs for Defendants
  • Updating Defendant’s addresses in InCode
  • Serving as Court Clerk for Community Court Dockets
  • Reviewing dockets prior to scheduled docket times to ensure notes are updated, necessary documents are scanned in, etc.
  • Scheduling meetings
  • Updating forms and letters
  • Collect data for research team and de-identify
  • Assist with data for grant reconciliation as necessary
  • Fills out the appropriate paperwork for Community Court referrals
  • Places notes into computer system
  • Preparing the Courtroom with supplies for dockets
