About The Position

The Administrative Assistant provides administrative, coordination, and support services across LCFC's Community Enterprise and Communications functions during a period of significant organizational growth—including a capital campaign, new building tenants and event rentals, and an expanding grants portfolio. This is a shared position. The Administrative Assistant reports to the Senior Vice President of Community Enterprise as supervisor of record and works in close partnership with the Director of Strategic Communications & Impact Storytelling to support priorities across both departments. Anticipated time will be approximately 70% Community Enterprise / 30% Communications. The ideal candidate is organized, detail-oriented, discreet with sensitive information, a clear and reliable communicator, and calm under competing deadlines. They thrive in a fast-paced, evolving environment and communicate warmly with colleagues, donors, partners, and community members at all levels.

Requirements

  • Minimum of two years of relevant experience in administrative support, coordination, or office operations.
  • High school diploma or equivalent required
  • Proficiency in Microsoft Office (Word, Excel, Teams) and Google Workspace.
  • Strong organizational and critical thinking skills and attention to detail when managing tasks, data, confidential information and deadlines.
  • Ability to manage multiple priorities, remain flexible, and respond to shifting demands.
  • Discretion and sound judgment in handling confidential information.
  • Strong writing, proofreading, and interpersonal communication skills.
  • Ability to quickly learn new technology and software systems.

Nice To Haves

  • AA or BA/BS a plus
  • Four or more years of experience in administrative, development operations, or coordination roles within a nonprofit or mission-driven organization.
  • Experience with donor CRM/database systems (C-Suite or comparable).
  • Experience with email marketing platforms (Mailchimp or comparable).
  • Familiarity with grant administration processes, including tracking deadlines, assembling applications, and managing funder portals.
  • Experience supporting fundraising operations, donor stewardship, or capital campaigns.
  • Experience coordinating events, managing vendor relationships, or supporting facility/tenant operations.
  • Proficiency with video/webinar tools (Zoom or similar).
  • Bilingual (English/Spanish) and/or bicultural experience.
  • Prior experience working with or alongside communications teams on content calendars, newsletters, or digital assets.

Responsibilities

  • Provide calendar and scheduling support for the SVP of Community Enterprise and the Director of Strategic Communications & Impact Storytelling, maintaining shared department calendars and coordinating internal and external meetings with partners, donors, and vendors.
  • Prepare with guidance, format, and proofread routine documents, meeting materials, and correspondence, ensuring consistency, accuracy, and professionalism.
  • Organize and maintain digital files across community enterprise and communications workstreams.
  • Maintain and update program records, databases, tasks and supporting documentation, ensuring information is accurate, current, and accessible to other teams. Run routine reports, lists, and mailing pulls as requested by leadership.
  • Assist with routine data integrity— entry, deduplication, standardization, and clean-up—to keep records accurate.
  • Coordinate the processing of invoices, reimbursements, and expense reports with the finance team.
  • Manage program and event supplies and materials, and coordinate with vendors for ordering as needed.
  • Support administrative tasks related to LCFC's 501(c)(6) membership organization, including membership and fundraising initiatives.
  • Support tenant and lease coordination for LCFC's facility, including scheduling, documentation, and communication with building occupants.
  • Maintain grant files and supporting documentation and assist with the preparation and submission of required materials.
  • Perform other administrative duties as assigned.
  • Track project tasks, timelines, and administrative deliverables, following up with team members as directed.
  • Maintain project information and task status in LCFC's project management system.
  • Provide administrative support for facility use and special events, including scheduling, preparing agreements, coordinating logistics, collecting required documentation, and maintaining records.
  • Represent LCFC with professionalism, warmth, and care in all interactions with donors, partners, tenants, and community members.
  • Attend and actively participate in LCFC staff meetings, retreats and trainings.
