About The Position

The Parks, Recreation, and Tourism (PRT) Administrative Assistant provides primary administrative support to the Town PRT Department. Work involves working the front desk at the Surf City Community Center, providing customer service, performing general cleaning and maintenance, and office duties, assisting with clerical tasks, maintaining records, compiling reports, scheduling events, and processing payments through a software program. Sets up and breaks down the facility for rentals and events. Works a non-traditional work schedule, primarily working nights and weekends with limited supervision.

Requirements

  • High School Diploma or General Equivalency Diploma (GED)
  • Ability to successfully perform the essential duties and responsibilities of the job
  • Must successfully complete and meet the guidelines for a clear criminal background, drug screening, and NC SBI fingerprinting.
  • Valid NC Driver's License
  • Knowledge of filing techniques
  • Knowledge of general office operations
  • Knowledge of customer service techniques
  • Knowledge of phone answering techniques
  • Knowledge of basic accounting concepts

Responsibilities

  • Greets participants and enforces facility regulations and policies.
  • Provides local area information to visitors.
  • Serves as liaison to expedite information flow and interpret policies, procedures, rules, and regulations to patrons, participants, and the general public.
  • Performs administrative tasks such as utilizing a computer to complete projects, typing, copying, and faxing materials as needed, updating files, informing citizens of program status, and responding to inquiries in person, over the phone, or via email.
  • Collects fees for Community Center membership, rentals, classes, camps, clinics, athletic leagues, and special events, and maintains payment records in the appropriate files and software.
  • Counts and maintains cash box.
  • Answers and directs phone calls.
  • Forwards messages and requests to appropriate staff members.
  • Performs administrative tasks such as utilizing a computer to update files, and responding to inquiries in person, over the phone, or via email.
  • Sets up and breaks down the facility for rentals, meetings, classes, programs, and events.
  • Maintains a clean work environment at all times.
  • Assists all divisions of the PRT department as required.
  • Performs other duties of a similar nature or level.
