About The Position

The Corporation of the Town of Orangeville invites applications for the position of Committee Co-ordinator/Secretary Treasurer to the Committee of Adjustment within the Corporate Services department. This is a full-time position, 35 hours per week. Due to an upcoming retirement, the Town has an opportunity available for the position of Committee Co-ordinator/Secretary Treasurer to the Committee of Adjustment. Reporting to the Deputy Clerk, this position is responsible for providing support to various Council committees, performing the statutory duties of the Secretary-Treasurer to the Committee of Adjustment, providing general administrative support to the Clerk's Division, and assisting with the implementation and maintenance of the Town’s records management program.

Requirements

  • Secondary School Diploma or equivalent.
  • Minimum of one (1) year of progressive, related and demonstrated experience in meeting management.
  • Working knowledge of Municipal Act, by-laws, practices and procedures relating to legislative services, general office procedures, and records management principles.
  • Ability to deal effectively and courteously with the public and to maintain confidentiality.
  • Computer proficiency in Microsoft Office 365 (Word, Excel, Outlook, SharePoint) and related information systems.

Nice To Haves

  • Community College Diploma in Public Administration, Office Administration or a related field is considered an asset.
  • Completion of the Municipal Administration Program from AMCTO and parliamentary procedures training is considered an asset.
  • Enrollment in the Executive Diploma in Municipal Administration from AMCTO is considered an asset.

Responsibilities

  • Coordinating and facilitating committee meetings, including scheduling, agenda preparation, and distribution.
  • Independently providing legislative and procedural support to various committees and their staff liaisons, covering a wider variety of topics as enacted by Council.
  • Ensuring accurate recording of minutes, tracking of decisions, and follow-up on action items.
  • Serving as a liaison between committees, municipal staff, and the public to facilitate communication, collaboration and delegations.
  • Collaborating with committee chairs and members to develop annual work plans that align with the Committee’s terms of reference and Council’s strategic priorities.
  • Administering the processes for public appointments and memberships to committees ensuring appropriate representation is maintained.
  • Performing the statutory duties of Secretary-Treasurer to the Committee of Adjustment under the Planning Act, and provide legislative support to the committee, including preparation of agendas, preparation and circulation of notices, preparation of minutes and the preparation and circulation of decisions.
  • Tracking the fulfillment of related decision conditions and other statutory responsibilities of the Planning Act.
  • Responding to enquiries from and liaise with the public, other levels of government and staff, regarding all aspects of the operations of the Clerk's Division as required for coverage.
  • Performing duties of Deputy Issuer of Marriage Licences, Deputy Division Registrar, and Commissioner of Oaths as required.
  • Assisting the Deputy Clerk and Co-ordinator, Records with administering the Town’s Records Management Program including the indexing and review of corporate records in accordance with the retention by-law.
  • Other duties as assigned.
