About The Position

Chapman Automotive Group is seeking an experienced and organized Collision Center Office Manager to join their team in Tucson, AZ. This role involves overseeing the daily administrative operations of the collision center, ensuring smooth workflows and excellent customer service. The Office Manager will collaborate with technicians, service advisors, and management to coordinate appointments, manage records, and maintain communication with customers and insurance companies.

Requirements

  • Previous experience in office management, preferably within an automotive or collision repair environment
  • Strong organizational and multitasking skills
  • Excellent customer service and communication abilities
  • Proficiency with office software including Microsoft Office and industry-specific management systems
  • Ability to work collaboratively in a fast-paced environment
  • Attention to detail and problem-solving skills
  • High school diploma or equivalent

Responsibilities

  • Manage day-to-day office operations, including scheduling, customer communications, and record keeping
  • Coordinate repair orders, insurance claims, and invoicing processes efficiently
  • Supervise office staff and provide support and training as needed
  • Maintain an organized filing system for vehicle repairs and customer information
  • Serve as a liaison between customers, insurance agents, and technicians to ensure a seamless repair process
  • Track parts orders and inventory to support timely service completions
  • Assist in billing and collection efforts
  • Implement and improve office policies and procedures to enhance productivity and customer satisfaction
