About The Position

The Clinical Treatment Coordinator, working with minimal direction and considerable latitude for independent judgment, performs complex administrative duties to support the Oral Medicine clinic and research activities. This role involves regular communication with patients, families, and staff to identify and address barriers to scheduling, treatment, care, and follow-up. The coordinator will maintain an expert understanding of the Oral Medicine division, train new staff, and assist in clinical research activities.

Requirements

  • Associate’s degree in a related field required.
  • At least 3 years of high-level administrative medical office experience required.
  • Equivalent combination of education, training, and experience required.
  • Strong customer service skills (via telephone and in person) required.
  • Ability to communicate effectively and professionally required.
  • Ability to work well in a fast-paced environment required.
  • Ability to work with a diverse patient and provider population required.

Nice To Haves

  • Strong working knowledge of computer-based systems: Epic, axiUm, Zoom, Microsoft Office, etc. preferred.

Responsibilities

  • Serves as a liaison, appointment coordinator, and patient advocate to assist in the coordination of scheduled visits, treatment plans, and patient requests.
  • Explains procedures and associated costs to patients.
  • Communicates the department’s policies and procedures to patients.
  • Prioritizes referral requests using department protocols, responding and immediately expediting most urgent requests.
  • Collaborates with all members of the care team to facilitate superior communication with the patient for best treatment outcomes.
  • Performs complex appointment scheduling, linking referrals and ancillary services.
  • Communicates with internal and external referring providers and associated physicians and dentists.
  • Maintains ongoing communication with all hospital referring departments (BMT, Hematology, Radiotherapy, Medical Oncology, Head & Neck Cancer, Cardiac Surgery).
  • Ensures ancillary testing and other specialty referrals have been executed and results received.
  • Coordinates and obtains all imaging, photos, blood work, pertinent documents, etc.
  • Coordinates the scheduling for telehealth visits.
  • Communicates with remote patients, provides patients with an introduction to Oral Medicine, and obtains all required medical documents.
  • Registers new patients in eRecord, obtains patient signatures for release of information, and coordinates medical records with HIM, as appropriate.
  • Assists with treatment follow-up reports and patient waiting list updates.
  • Assists with clinic inventory, obtains quotes for required equipment, and tracks orders.
  • Performs other duties for Oral Medicine Chair as directed, including working on quality assurance, safety monitoring, and other special projects.
