Clinical Operations Manager

Optain Health
•$120,000 - $145,000•Remote

About The Position

Optain is hiring a Clinical Operations Manager to own operations for its U.S. network of optometrists and ophthalmologists who read retinal images for health systems, clinics, and community health centers. The role will build documented policies, a measurable quality program, a demand-ahead capacity model, and a governance rhythm in alignment with Optain’s Medical Director. It is a non-clinical role reporting to the VP of Operations and working day to day with the Medical Director. This remote position is based in the United States and may require occasional travel for team offsites and customer engagements. The manager will establish and maintain the provider network’s grading playbook, SOPs, onboarding materials, policy library, documentation governance, quality reviews, capacity planning, recruitment pipeline, and complaint workflows. The role will also support the Medical Director with decision preparation and follow-through and partner with Product and Engineering to improve the EyePACS platform and reduce manual work. Optain develops software and hardware that use retinal imaging and AI and machine learning to detect and manage eye and systemic conditions. Founded in Australia in 2019, the company has received regulatory approvals in international markets and FDA clearance for its Resolve retinal camera in 2025. Optain acquired EyePACS, a teleophthalmology platform with a 15-year history and an established network of licensed eye-care professionals.

Requirements

  • At least 5 years of experience in healthcare operations.
  • At least 2 years managing a network of contracted or affiliated clinicians.
  • Experience writing clinical or operational policy that a physician leader signed and maintaining it afterward.
  • Experience running or materially contributing to a clinical quality, peer review, or provider performance program.
  • Comfort building and interpreting operational dashboards and capacity models using spreadsheets or BI tools.
  • Clear, direct written communication skills and comfort working with physicians as a non-clinician.
  • Experience driving adoption of new processes across teams without direct reporting authority.
  • Must be based in the United States and comfortable with remote work and occasional travel for team offsites and customer engagements.

Nice To Haves

  • Telehealth, teleradiology, or virtual care experience, preferably over traditional medical group or IPA settings.
  • Prior experience operating a clinician network under a medical director’s clinical oversight.
  • Exposure to credentialing, medical staff services, or multistate clinician licensing.
  • Teleophthalmology experience; it is not required.
  • Experience participating in product discovery or operationalizing new feature launches.
  • Startup experience building processes where little previously existed.

Responsibilities

  • Author, version, and maintain the grading playbook, SOPs, onboarding materials, and provider network policy library; route clinical content to the Medical Director for review and sign-off.
  • Establish documentation governance, including document ownership, versioning, review cadence, and sign-off.
  • Design and operate the grader quality program, including sampling, over-read and discordance review, turnaround accountability, performance feedback, and tracking error rates and trends.
  • Prepare quality reviews and escalations for Medical Director adjudication, then carry out resulting actions, including performance conversations and offboarding.
  • Build and maintain a capacity model by state, customer, and license coverage, and set recruitment triggers ahead of turnaround breaches.
  • Run the grader recruitment pipeline from sourcing through interview and recommendation, working with the Operations Manager on credentialing and onboarding execution.
  • Own intake, triage, and routing of customer and grader complaints, including urgent findings workflows; route clinical questions to the Medical Director, close the loop with customers, and track issues over time.
  • Set agendas, prepare decisions, and follow through to focus the Medical Director’s time on clinical judgment rather than logistics.
  • Partner with Product and Engineering on platform improvements that reduce manual work, and document current-state workflows to support accurate and timely feature development.
  • Contribute network metrics to the weekly grader operations rhythm and company scorecard.

Benefits

  • Competitive compensation, including a strong base salary and performance-based bonus, with the chance to earn upside.
  • Health insurance, vision insurance, dental insurance, and commuter benefits.
  • Monthly health and wellness reimbursement.
  • Opportunity to collaborate with experts and a close-knit team, with support from mentors.
