  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple priorities and follow up proactively.
  • Strong written and verbal English communication skills.
  • Ability to work independently in a fast-paced, remote environment.
  • Familiarity with HIPAA and patient confidentiality requirements.
  • Professional-level English communication and availability to work U.S. business hours.

Nice To Haves

  • Active U.S. NP license (preferred; required if the role includes activities that constitute clinical practice).
  • Experience coordinating distributed clinical teams.
  • Background in weight management, metabolic health, or subscription-based telehealth services.
  • Experience monitoring clinical service-level agreements (SLAs) and response-time metrics.
  • Experience building operational dashboards or tracking provider performance.

Responsibilities

  • Track pending consultations, patient messages, medical reviews, and outstanding clinical tasks.
  • Identify providers experiencing high workloads or delays and coordinate workload adjustments and escalations with appropriate clinical leadership.
  • Ensure provider assignments and pending patient requests are actively monitored.
  • Monitor patient communication queues for unanswered messages and delayed clinical responses.
  • Send providers reminders and alerts about pending patient requests that exceed established response-time expectations.
  • Escalate urgent or time-sensitive patient concerns according to established clinical protocols.
  • Follow up on unresolved cases and help prevent communication gaps that could negatively affect the patient experience.
  • Serve as an operational point of contact between clinical providers and internal support teams.
  • Identify recurring workflow issues affecting provider productivity and patient response times.
  • Support standardized clinical communication and escalation procedures.
  • Collaborate with Clinical Leadership and Operations to improve efficiency and service quality.
  • Maintain visibility into outstanding clinical tasks and follow-up requirements.
  • Monitor operational metrics, including average patient response time, unanswered or overdue messages, provider workload distribution, pending clinical tasks, and escalation volume and resolution time.
  • Prepare concise reports highlighting delays, operational risks, and improvement opportunities.
  • Recommend workflow adjustments to improve provider efficiency and patient satisfaction.
