About The Position

The Clinical Activation Specialist serves as the crucial communication link between the Facilities Design & Construction Division and various stakeholders including Hospital/Health System Departments (Clients), contractors, suppliers, vendors, design professionals, and the State of CT Department of Health. This role also acts as the primary liaison with the YNHH Space Committee and the Bed Implementation Committee for capital projects. Key responsibilities involve coordinating clinical logistics, systems, phasing, soft cost budgets, and other project components that fall outside the direct management of Project Managers. The position demands strong leadership abilities coupled with a keen sensitivity to team dynamics, enabling the successful applicant to adapt to various roles within the Hospital/Health System. The Clinical Activation Specialist handles a significant volume of sensitive information requiring careful documentation and distribution to facilitate project progression. Additionally, this role serves as a resource for multiple departments needing assistance with move planning, logistics, budgeting, and scheduling, making effective time management and task prioritization essential requirements. The Clinical Activation Specialist reports to the Associate Director of Facilities Design and Construction, with no direct reports other than administrative and support personnel.

Requirements

  • Bachelors Degree in nursing, respiratory, or other related clinical area.
  • Minimum three (3) of experience in comparable setting.
  • Must have the ability to review and prepare facilities plans and drawings, including planning, space activities and asset management with Auto CAD viewers and Facilities Management software.
  • Candidate must also have working knowledge of Microsoft Excel, Word and Outlook.
  • Must be able to obtain a CHC Certification from ASHE within two years.

Nice To Haves

  • Additional education in management desirable.
  • Bachelor of Arts Degree in interior design, environmental design or interior architecture a plus.
  • Diplomatic skill to develop an understanding and cooperation between divergent interest groups while meeting the needs and corporate goals established by the Hospital/Health System and the departments we serve.
  • Some knowledge of building and accessibility codes are helpful.
  • Association in ASID, IIDA or IFMA is desirable.

Responsibilities

  • Be fully aware of the Hospital's/Health System’s vendor contract(s) for the planning, design and construction of the project(s), and of the Client's objectives. Satisfying the client's goals is a key responsibility.
  • Working with Project Managers, analyze the project scope, the client's project specific objectives. Organize the work on the project and set forth the procedures to be employed in accomplishing the project.
  • Review pertinent incoming project information and distribute it to the internal team and to outside consultants and contractors.
  • Obtain the services of outside consultants and vendors as required and budgeted.
  • Work with Project Managers to develop and monitor the project design and construction schedule to meet Client and Hospital's/Health System's time objectives.
  • Work with Project Managers to notify the Client of changes in project scope, and prepare/revise project budget.
  • Work with Project Managers to keep the Client, Departmental Director and the Hospital/Health System Finance department informed on the financial status of the project.
  • Work with Project Managers to develop the construction budget and schedule. As required, work with Project Managers and Consultants to identify long lead items and proposed form of construction contract.
  • Attend all key planning and design meetings, attend construction meetings on an as-needed basis.
  • Construction documents phase: Review pre-bid estimates with Project Managers. Review contract documents for conformance with current practices, standards, and requirements. Perform independent review with Project Managers of all contract drawings and specifications for completeness, correctness and coordination. Ensure that corrections and clarifications are made if required.
  • Construction phase: Schedule and attend job meetings as requested or required by Project Managers and Clients. Review requests for modifications of the contract drawings and specifications with Project Managers, whether initiated by Client or Contractors. Consult with Project Architect and Department Manager on all modifications and design changes. Request Project Architect to prepare change drawings, as required. Review change estimates with Project Managers. Work with appropriate personnel to prepare punch list. Review warranties, guarantees, and other specification closeout requirements. Return to meet with Client in approximately one year following occupancy for project evaluation.
  • Provide all necessary Clinical design and logistical support to design and project management teams to aid in the development of project program, design, budgets, and schedule.
  • Space Committee Liaison: Clinical Design Manager works with the YNHH Space Committee to identify needs for programs and works with users, Facilities Planning & Design department, and Administration on the planning and space requirements for needs identified.
