Our Client Service Representatives are an essential part of the veterinary care team. As one of the first and last people our clients interact with, you'll help create a welcoming, professional experience while supporting efficient hospital operations and exceptional patient care. Responsibilities

  • Greet clients and their pets warmly and professionally
  • Answer incoming phone calls, emails, and client questions
  • Schedule, reschedule, confirm, and coordinate appointments
  • Check clients and patients in and out efficiently
  • Maintain a friendly, professional, and welcoming front-desk environment
  • Address client concerns and escalate medical or management issues when appropriate
  • Communicate clinic policies, estimates, payment requirements, and appointment instructions clearly
  • Verify client and patient information at every visit
  • Maintain accurate client and patient records
  • Review appointment schedules and prepare for upcoming visits
  • Coordinate drop-offs, pick-ups, surgeries, procedures, and technician appointments
  • Monitor appointment flow and communicate delays to clients
  • Assist with obtaining medical records from other veterinary hospitals
  • Prepare and process invoices and payments
  • Review estimates with clients and obtain required approvals
  • Process refunds, deposits, and other financial transactions according to hospital policy
  • Maintain accurate cash-drawer and payment records
  • Assist with daily opening and closing procedures
  • Enter and update patient information accurately
  • Assist with prescription refill requests according to hospital protocol
  • Route medication and medical questions to the appropriate veterinary team member
  • Prepare records, forms, and client documents as needed
  • Maintain confidentiality of client and patient information
  • Keep the reception area clean, organized, stocked, and professional
  • Coordinate communication between the front desk and treatment areas
  • Support doctors and technicians with client communication as needed
  • Follow hospital safety, sanitation, and emergency procedures
