Responsibilities

Greet clients and their pets warmly and professionally
Answer incoming phone calls, emails, and client questions
Schedule, reschedule, confirm, and coordinate appointments
Check clients and patients in and out efficiently
Maintain a friendly, professional, and welcoming front-desk environment
Address client concerns and escalate medical or management issues when appropriate
Communicate clinic policies, estimates, payment requirements, and appointment instructions clearly
Verify client and patient information at every visit
Maintain accurate client and patient records
Review appointment schedules and prepare for upcoming visits
Coordinate drop-offs, pick-ups, surgeries, procedures, and technician appointments
Monitor appointment flow and communicate delays to clients
Assist with obtaining medical records from other veterinary hospitals
Prepare and process invoices and payments
Review estimates with clients and obtain required approvals
Process refunds, deposits, and other financial transactions according to hospital policy
Maintain accurate cash-drawer and payment records
Assist with daily opening and closing procedures
Enter and update patient information accurately
Assist with prescription refill requests according to hospital protocol
Route medication and medical questions to the appropriate veterinary team member
Prepare records, forms, and client documents as needed
Maintain confidentiality of client and patient information
Keep the reception area clean, organized, stocked, and professional
Coordinate communication between the front desk and treatment areas
Support doctors and technicians with client communication as needed
Follow hospital safety, sanitation, and emergency procedures
