We're looking for a compassionate, organized, and customer-focused Client Care Coordinator (C3) to be the central point of communication for our restoration projects. As a Client Care Coordinator, you'll serve as the primary communication hub for every project, ensuring customers, vendors, and internal teams stay informed throughout the restoration process. You'll coordinate projects from the initial call through final payment while delivering an exceptional customer experience every step of the way.

Requirements

  • 3-5 years of customer service, administrative, or project coordination experience
  • Outstanding written and verbal communication skills
  • Strong organizational and time management skills
  • Ability to prioritize multiple projects in a fast-paced environment
  • High attention to detail and accuracy
  • Proficient with Microsoft Office and computer systems

Nice To Haves

  • Associate degree in Business Administration or related field preferred
  • Restoration, construction, insurance, or property management experience is a plus

Responsibilities

  • Serve as the primary point of contact for customers throughout their project
  • Receive new leads and promptly contact customers
  • Create and manage projects within our CRM system
  • Coordinate scheduling with field teams and subcontractors
  • Schedule Matterport (3D imaging) inspections
  • Send and obtain signed contracts, work authorizations, and required documentation
  • Collect deposits and process customer payments
  • Coordinate mitigation, remediation, and reconstruction activities
  • Communicate project timelines, expectations, and status updates
  • Request progress billing and coordinate invoicing
  • Review project files for accuracy and completeness
  • Submit final invoices and payment documentation
  • Follow up on outstanding balances in accordance with company procedures
  • Complete quality control checklists and maintain organized project files
  • Collaborate closely with operations, accounting, and field staff to ensure projects move efficiently
