About The Position

The Clerk IV (Summer Conference Housing Assistant Manager) performs a variety of duties related to Summer Conference Housing (SCH). In conjunction with the University’s housing services department, the position coordinates accommodations for conference guests and assists with coordination of conference programs and services provided by University Conference Services (UCS). The position is designated as essential and on call. Work is primarily performed in an indoor university environment and involves lifting and transporting materials or equipment and general physical activity, including prolonged standing, walking, or assuming low postures. The regular schedule is Monday through Friday, 8:00 a.m. to 4:00 p.m., with on-site coverage during conference events, including nights, weekends, and early mornings. The position is based in Amherst and is onsite.

Requirements

At least one year of experience in the hospitality industry.
Valid Massachusetts Class D Driver’s License.
Working knowledge of Microsoft Office, with emphasis on Excel and Word.
Ability and willingness to work on an on-call basis.
Ability to supervise student and temporary employees.
Strong customer service skills and experience.

Responsibilities

Recruit, train, and supervise student and temporary staff to operate the summer residence hall program, emphasizing customer service and employee safety.
Act as the primary operational contact for Summer Conference Housing.
Learn the Registration Program with the UCS Registration and Housing Manager and implement its use to generate housing lists for summer groups.
Maintain inventory of linen, operating supplies, and equipment needed to support Summer Conference Housing.
Prepare, implement, and enforce policies for employees, guests, and visitors in rooms and public areas under SCH jurisdiction, while adhering to University Housing policies.
Coordinate conference facilities and services by contacting on-campus and off-campus resources.
Participate in developing contracts to ensure compliance with State, University, and Conference Services policies and procedures.
Provide on-site coverage during conference events, including nights, weekends, and early mornings.
Answer the phone while on call, anticipating increased calls during event handling, especially from May through August.
Ensure prompt and accurate financial wrap-ups and billings for completed conference programs.
Support affirmative action and nondiscrimination goals and provide customer-focused quality services.
Serve as a backup for coordinating conference registration.
Maintain electronic Delphi and Iris files and paper files for each conference.
Order forms, materials, and supplies needed for each conference.
Functionally supervise service providers and students to ensure the accuracy, quality, and timeliness of services or products delivered to conferences.
Operate a motor vehicle to travel to work sites.
Input time into Kronos.
Perform other duties as assigned.
