This position supports the Inmate Records office by organizing documents, completing clerical tasks, and assisting with information management. The role helps maintain accurate records and provides support to staff across the institution.

Requirements

  • Six months as a Clerical Assistant 1 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or Graduation from high school; or An equivalent combination of experience and training.
  • Possess keyboarding skills to meet standards for speed and accuracy.
  • Successful completion of basic training in Elizabethtown, PA is required.
  • Must be able to efficiently use and navigate a personal computer.
  • Must have experience with the Microsoft systems (Word/Excel/Outlook, etc.) and other software packages to create and maintain spreadsheets/calendars/documents/rosters etc.
  • Must have the ability to work with various office equipment such as: scanner, printer, fax machine, computer, tablet, telephone, personal communication devices etc.
  • You must be able to perform essential job functions.
  • You must pass a background investigation and meet Criminal Justice Information Services (CJIS) compliance requirements.

Responsibilities

  • Place documents into active and inactive inmate files according to required procedures
  • Prepare letters, memos, notices and forms as directed by the Records Supervisor
  • Respond to inquiries using knowledge of inmate files or direct complex questions to appropriate staff
  • Use computer programs and the Inmate Records System to locate information and enter authorized data
  • Order supplies and complete work orders for the Records Department
  • Collect, sort, and distribute internal and incoming mail for staff and departments
