About The Position

This role involves supporting healthcare providers in patient assessment, record management, and administrative tasks. The Certified Medical Assistant will be responsible for organizing and completing medical records requests, reviewing patient histories, and managing referrals. Additionally, the role includes coordinating lab testing, assisting with medication prior authorizations, and maintaining clinic inventory.

Requirements

  • Certified Medical Assistant certification
  • Proficiency in patient assessment and reporting abnormalities.
  • Experience with medical records management and release of information protocols.
  • Familiarity with CSMD/PMP reviews.
  • Ability to manage psychiatric referrals and new patient paperwork.
  • Skill in scheduling and tracking patient appointments.
  • Knowledge of lab testing procedures and tracking for psychiatric patients.
  • Experience assisting with processing orders (e.g., Gene sight).
  • Ability to prepare clinical data and chart entries.
  • Experience securing prior authorization for medications.
  • Skills in auditing and managing clinic inventory.

Responsibilities

  • Assess patients under provider supervision using standardized rating scales and report abnormalities to care team promptly.
  • Organize, track and complete medical records requests, as ordered by the care team, while ensuring that all appropriate releases of information are on file and up to date.
  • Review CSMD/PMP prior to initial visit for all patients and periodically and/or as requested for follow-ups. Findings should be reported to the ordering provider.
  • Ensure that psychiatry referrals are handled appropriately. All new referrals should complete new patient psychiatry paperwork. CMA will ensure all required information is complete and request records from previous providers or pharmacies, as necessary.
  • Make a reasonable effort to schedule referred patients within 2 weeks.
  • Track all referrals to ensure that they are scheduled or rescheduled appropriately.
  • Periodic review of patient roster to ensure that follow-up visits are scheduled.
  • Labs for psychiatric patients completed and tracked per BPG.
  • Enter lab results into chart.
  • Flag patients overdue for monitoring.
  • Assist patients with instructions and lab orders.
  • Assist providers in processing orders, such as Gene sight, as appropriate (i.e.-entering demographic information in portal).
  • Assist in preparation of pertinent clinical data /chart entry of forms etc. prior to scheduled visit for provider review.
  • Assist in securing prior authorization for psychiatric medications.
  • Routinely audit clinic samples and ensure timely and appropriate inventory.
  • Clinic samples should be audited monthly.
