About The Position

Action Pact is a community action agency dedicated to improving lives and communities for over 50 years. We are seeking a full-time Center Coordinator to provide a safe, nurturing, and positive learning environment for children. This role is responsible for the daily operations of the Head Start program, ensuring adherence to Performance Standards and Personnel Policies & Procedures. Key duties include staff supervision, accurate and timely paperwork completion, classroom monitoring, and ensuring the safety of children and staff.

Requirements

  • An AA in Early Childhood Education is required.
  • Bachelor’s Degree in Early Childhood Education, Child Development or Elementary Education is preferred.
  • Valid Georgia Driver’s License

Responsibilities

  • Responsible for the daily operation of the Head Start Program in the designated Center.
  • Ensuring Performance Standards in all components areas are carried out and in compliance with Personnel Policies and Procedures.
  • Supervision of all personnel assigned to the designated Head Start Center.
  • Assuring that center staff payroll is turned in on time, is accurate, and free of mistakes.
  • Assuring all required paperwork is completed accurately and on time.
  • Monitoring classrooms on a weekly basis and recording/turning in results on required reports.
  • Responsible for follow-up of non-compliant areas as indicated in the monitoring tool completed by Quality Assurance Monitors, including developing and implementing corrective action plans.
  • Ensuring the center has an established system for identifying family needs and providing services or referrals, including Crisis Intervention Services.
  • Preparing all reports of school accidents involving children and staff, including program, insurance, and administrative reporting forms within required time limits.
  • Responsible for new employee orientation, ensuring all employment documents are accurately completed and forwarded.
  • Ensuring compliance in the Transportation Component and coordinating with relevant staff for child transportation.
  • Responsible for routine monitoring to ensure menus are posted and informing staff of changes.
  • Responsible for maintaining the center enrollee roster, ensuring it is current.
  • Ensuring a record-keeping system is maintained with current participant information, keeping all participant information confidential and up-to-date.
  • Monitoring monthly volunteer hours for accuracy and submitting monthly reports by the specified due date.
  • Developing a system to encourage parents to volunteer in the Head Start Program.
  • Submitting requests for equipment and materials to the Education Specialist monthly and reporting immediately any safety-critical needs.
  • Responsible for the preparation and submission of work orders to the Facilities Specialist.
  • Reviewing the Head Start Procedures Manual to ensure all center reports are submitted to designated Central Office staff.
  • Maintaining an adequate fiscal management system, ensuring accountability of all Head Start Program funds, property, and inventory.
  • Ensuring the Personnel Policies and Procedures and Program Operating Procedures are carried out in accordance with HHS guidelines.
  • Conducting and recording all staff meetings as indicated in the Head Start Procedures Manual and submitting copies monthly to the Education Specialist.
  • Disseminating information in a timely manner to center staff received from Program Specialists and other sources.
  • Ensuring pertinent program information is disseminated in a timely manner to parents and the community.
  • Submitting requests for approval for all expenditures (excluding utilities) prior to purchase.
  • Providing immediately upon receipt all requisitions for payment, reviewing them for accuracy prior to submission.
  • Ensuring all training records are submitted to the Training Specialist on an ongoing basis.
  • Participating in and maintaining an internal communication system ensuring total program incorporation.
  • Reviewing employee time sheets and employee reimbursement requests for accuracy prior to submission, ensuring required signatures and supporting documentation are attached.
  • Updating the center property inventory on an ongoing basis and annually when requested by central office.
  • Responsible for the proper administration of medications and ensuring proper procedures for record-keeping. Must designate a trained staff member to administer medication in their absence.
  • Coordinating RIF Book distribution Plan, facilitating and coordinating Parent Orientation meetings with guidance from the Head Start Director and Component Specialists.
  • Assisting parents in organizing schedules for parent meetings and attending these meetings.
  • Attending workshops and in-service training sessions, and being available for program-related travel.
  • Coordinating the activities of the Parent Committee, preparing and submitting reports of their activities, implementing appropriate recommendations, and providing information as needed and requested.
  • Collecting, compiling, checking for accuracy, and submitting daily attendance of participants at the assigned center.
  • Promoting parent and community volunteers and actively seeking in-kind donations, ensuring documentation of in-kind services is processed in a timely manner.
  • Monitoring classrooms on a weekly basis and reporting findings in a weekly report.
  • Maintaining supporting documentation for the preparation of Head Start Employee Performance Evaluations (monthly for new employees, annually for Agency Annual Evaluations).
  • Approving/disapproving PTO, considering the employee’s PTO balance.
  • Meeting with individuals conducting ITERS, ECKERS, DECAL Child Care Licensing, etc. site visits.
  • Monitoring, documenting, and following the procedure for reporting suspected child abuse.
  • Understanding, respecting, and maintaining confidential information regarding children, families, and the program.
  • Responding appropriately to crisis or emergency situations.
  • Performing all other duties as assigned.
