About The Position

The Care Coordinator greets patients at checkout and provides friendly, prompt assistance while coordinating their care. The role reviews physician orders, provides patients with instructions, coordinates appointments and diagnostic testing, and helps patients understand procedure clearance, referral, and authorization requirements. The coordinator also supports accurate patient records and daily checkout reporting, confirms appointments, and responds to incoming calls and patient questions in a professional and courteous manner.

Requirements

High school diploma or equivalent required.
Must be able to read, write, and speak English.
Strong people skills.
Data-entry skills and attention to detail.
Strong organizational skills and the ability to multitask effectively.
Basic computer skills, including the ability to recognize and understand the electronic medical record (EMR) system.
Ability to use personal computers and required programs and applications, including the internet, electronic health records or authorization systems, e-fax, and email, with minimal typing or spelling errors.
Excellent communication, customer service, and telephone skills.
Ability to work independently with minimal supervision in a fast-paced environment.
Ability to maintain patient confidentiality and comply with HIPAA regulations.
Dependability and professional conduct.
Ability to follow policies and procedures.

Nice To Haves

Bilingual English/Spanish ability preferred.
Two to three years of related experience in a medical setting preferred.

Responsibilities

Assist patients at checkout by reviewing physician orders.
Provide patients with orders and instructions as needed.
Schedule procedures, including endoscopy, colonoscopy, and ancillary services.
Inform patients when clearance is required for a procedure.
Assist patients with inquiries or concerns and help ensure their expectations are met.
Coordinate diagnostic test orders placed by physicians.
Scan superbills and other patient documents into patient charts.
Ensure all patients are checked out at the end of the day or marked as no-shows.
Ensure the daily close-out report matches entries in ECW and forward the report to the billing department.
Schedule patient appointments in the system and inform patients when referrals or authorizations are required for a future visit or procedure.
Confirm patient appointments and send text reminders in the days before visits.
Answer incoming calls using the assigned telephone script in a professional, courteous, and timely manner.
Conduct work professionally and courteously, following company policies and procedures.
Perform other duties as assigned.
