About The Position

Fire Creek Services Company, an All Native Group company, is seeking a Buyer to procure the parts, materials, equipment, and services needed by HVAC, electrical, plumbing, and general maintenance crews supporting Fort Campbell barracks systems. The Buyer places and manages orders under Blanket Purchase Agreements (BPAs), coordinates vendor performance and deliveries, maintains complete audit-ready procurement files, and provides administrative support to the program team as needed. The position is primarily office-based on Fort Campbell, with occasional visits to barracks sites and supply areas. Work may also involve field-based activity in barracks and housing facilities, including roofs, attics, mechanical rooms, and occupied residential rooms. Daily local travel between buildings on the installation is required, and occasional after-hours support may be needed for emergency parts procurement. The employee must be able to pass a background check and obtain installation access. A security clearance is not required. New hires must successfully complete a pre-employment drug screen, and employees are subject to random drug screens during employment. The position has no supervisory responsibility.

Requirements

  • 3–5 years of purchasing or procurement experience.
  • High school diploma or equivalent.
  • Hands-on experience placing orders against and managing Blanket Purchase Agreements (BPAs).
  • Working knowledge of purchase order processes, quote documentation, and three-way matching.
  • Proficiency with Microsoft Office, including Excel, Outlook, and Word, and a purchasing or ERP system.
  • Strong organization, attention to detail, and follow-through.
  • Ability to pass a background check and obtain installation access.
  • Ability to meet the physical demands of lifting up to 50 lb., climbing ladders, bending, kneeling, standing for extended periods, and driving a service vehicle between buildings.
  • Successful completion of a pre-employment drug screen; employees are also subject to random drug screens.

Responsibilities

  • Request, collect, and compare vendor quotes for parts, materials, equipment, and services, documenting the basis for each award.
  • Place calls and purchase orders against established BPAs for HVAC, electrical, plumbing, and general maintenance materials.
  • Track BPA ceilings, call limits, expiration dates, and spending; identify agreements needing renewal or modification.
  • Follow company procurement policy and applicable FAR/DFARS flow-downs for purchases outside existing BPAs.
  • Source parts for emergency and priority work orders to minimize system downtime.
  • Verify pricing, quantities, and delivery terms before releasing orders; resolve vendor discrepancies.
  • Set up vendors in the purchasing/accounting system, collecting W-9s, insurance certificates, SAM.gov registration, small-business status, and banking/remittance details.
  • Maintain vendor master records and relationships with local and national suppliers; identify qualified alternate and small-business sources.
  • Expedite late orders, coordinate deliveries and base access, and track vendor performance for price, lead time, and quality.
  • Track receipts for program purchases and match them to purchase orders, work orders, and receiving documents.
  • Compile receipts and supporting documents and submit them for customer billing on schedule.
  • Process vendor invoices by matching them against purchase orders and receipts, resolving discrepancies, coding charges, and routing invoices for approval and payment.
  • Maintain complete purchase files, including requisitions, quotes, approvals, purchase orders, receipts, and invoices.
  • Track material spending against the program budget and report monthly to the PM; support government and internal audits.
  • Provide administrative support as needed, including maintaining program files and logs, timekeeping, onboarding paperwork, base access requests, training records, routine reports, and meeting scheduling.
  • Travel locally between buildings on the installation and provide occasional after-hours support for emergency parts procurement.
