As a Business Support Specialist, you will provide essential support to managers and employees at our Houston office, assisting with daily operational needs and contributing to the company’s broader administrative and project‑related activities. This is a dynamic, fast‑paced role that blends technical project support, executive support, and office operations. The ideal candidate brings strong customer service experience, thrives in a collaborative environment, demonstrates exceptional attention to detail, communicates proactively, stays organized, and consistently meets deadlines.

Requirements

  • College degree is preferred, or high school diploma with equivalent work experience
  • Strong Proficiency in Microsoft Office, particularly Excel and PowerPoint
  • Strong verbal and written communication skills
  • Excellent customer service and interpersonal abilities
  • Accuracy and attention to detail
  • Proven capacity to manage multiple priorities, maintain organization, and meet deadlines in a fast‑paced setting
  • Professional appearance and demeanor

Responsibilities

  • Prepare and manipulate complex Microsoft Excel spreadsheets and databases as necessary to support the Air Practice leadership
  • Prepare and revise presentations, documents, reports, and correspondence to support Air leadership, including Microsoft Word and PowerPoint
  • Support and manage internal projects and tasks, track deadlines, and follow up on action items
  • Handle sensitive and confidential information with discretion
  • Provide technical support to project managers as required, including emission calculations and the preparation of regulatory forms and tables, etc.
  • Assist project managers with permit public notice activities such as coordination of newspaper postings and ordering signage
  • Provide support to project managers with cost estimating tools, contract acquisition, Salesforce administration, and other financial-related components required for project execution
  • Manage visitor logistics and office suite access, greet visitors and maintain a welcoming, professional office environment
  • Serve as the primary liaison between the office and building management
  • Manage office supply/break room snack inventory and place orders as required
  • Coordinate office-wide and group meetings and lunches
  • Assist with planning company events, team activities, and office‑wide communications
  • Manage complex calendars, schedule meetings, and coordinate appointments, executive travel, conference arrangements, itineraries, logistics, and company-wide meetings and conference room bookings
  • Handle incoming and outgoing mail, packages, and deliveries
