Business Process Governance Specialist

Western Digital•San Jose, CA

About The Position

Western Digital’s Global Supply Chain Organization (GSCO) is establishing a centralized Business Process Governance (BPG) program to maintain the integrity, currency, and audit-readiness of business processes and procedures across the organization. The program replaces fragmented documentation practices with a common governance model that aligns policy with operational practice, meets internal and external audit control requirements, and supports continuous improvement and digitalization. The Business Process Governance Specialist is a core member of the BPG team and works directly under the BPG Program Lead. The role operates the program’s governance processes across six GSCO functions and a library of approximately 72 procedures. It covers procedure lifecycle management, audit control mapping, adherence assessments, governance platform operations, training coordination, and tracking continuous-improvement activity. Procedure content is written and owned by functional subject-matter experts; the Specialist ensures each procedure has a named owner, is mapped to relevant audit controls, is reviewed on schedule, and reflects operational reality. One of the three Specialist hires will be designated as the Governance Technology & Operations lead based on candidate profile and experience. That hire will also support tooling selection, coordinate IT projects, and administer the platform.

Requirements

  • At least 5 years of experience in process governance, procedure lifecycle management, audit support, compliance program management, or COE/PMO operations.
  • Demonstrated experience managing a procedure or document library at scale, including ownership assignment, version control, review cadence, and audit trail requirements.
  • Working knowledge of audit control frameworks and ability to map process documentation to control requirements, such as Internal Audit, ISO, SOX, or equivalent.
  • Exposure to or experience in Supply Chain, Procurement, or Global Operations sufficient to engage functional subject-matter experts as a credible peer.
  • Strong project management skills, including managing multiple workstreams, tracking stakeholder deliverables, and escalating systematically.
  • Experience working in or alongside cross-functional teams and building working relationships with Functional VPs, procedure owners, and operational subject-matter experts.
  • High proficiency with document management platforms, workflow tools, or governance systems.
  • Clear, structured written communication skills, including the ability to produce framework documentation, gap analyses, and status reports without heavy supervision.

Nice To Haves

  • Hands-on experience as an Internal or External Auditor, including testing controls, evaluating evidence, and documenting findings.
  • Familiarity with AI-enabled training tools or process education platforms.
  • Experience coordinating with IT on digital transformation projects.
  • Background in continuous improvement methodologies such as Lean, Six Sigma, or equivalent.

Responsibilities

  • Inventory, assess, and classify GSCO procedures across assigned functions using established BPG framework standards.
  • Assign and confirm named procedure owners in coordination with Functional VPs and their designated points of contact.
  • Manage procedure intake, review scheduling, version control, approval routing, publication, and archival.
  • Identify and document procedure gaps, and provide functional owners with remediation packages, templates, standards, and deadlines.
  • Escalate missed procedure review deadlines according to the BPG escalation framework.
  • Apply the governance model to the procedure library across assigned functions.
  • Map assigned procedures to applicable Internal Audit, BCMS, and IMS controls, and maintain the procedure-to-control mapping registry.
  • Support pre-audit readiness reviews, identify documentation gaps, maintain the audit intake log, route evidence requests, track owner SLA compliance, and escalate missed SLAs.
  • Capture post-audit lessons learned and contribute findings to BPG framework improvements.
  • Operate the BPG governance platform, including its document repository, approval workflow, version control, audit trail, and automated review reminders.
  • Configure governance tooling for each function, maintain access controls in line with the ownership model, and identify and escalate tooling gaps or workflow failures.
  • For the designated Governance Technology & Operations lead: support tooling evaluation and selection with IT, define functional requirements, project-manage implementation through go-live, act as the primary BPG liaison to IT, and administer the platform after implementation.
  • Set, schedule, and track risk-weighted procedure review cadences across assigned functions.
  • Coordinate procedure-related training cycles, assign training to named owners and super-users, track completion, escalate overdue training, and report status to functional leads and the BPG Program Lead.
  • Identify efficiency, automation, and digitalization opportunities; document and route them through the BPG Program Lead; track them to resolution; and maintain continuous-improvement KPI inputs.
  • Collaborate with Functional Owners to define and design procedure and process improvements where assigned.
  • Execute the Sourcing P2P Phase 1 pilot, including procedure inventory, gap identification, control mapping, tooling configuration, and training coordination.
  • Support the pilot retrospective, contribute to framework documentation updates, and extend the framework function by function as rollout progresses.
