Business Process Governance Specialist

Western Digital•San Jose, CA

About The Position

Western Digital’s Global Supply Chain Organization is establishing a centralized Business Process Governance program to maintain the integrity, currency, and audit-readiness of business processes and procedures across the organization. The program replaces fragmented documentation practices with a consistent governance model that aligns policy with operational practice, supports audit control requirements, and enables continuous improvement and digitalization. The Business Process Governance Specialist is a core member of the team and reports to the BPG Program Lead. The role executes procedure lifecycle management, audit control mapping and readiness support, adherence assessment, governance tooling operations, review cadence and training coordination, continuous improvement tracking, and pilot rollout activities across assigned GSCO functions. The active procedure library contains approximately 72 governed procedures across six functions. Functional subject matter experts own and write procedure content; the Specialist ensures procedures have named owners, are mapped to relevant audit controls, are reviewed on schedule, and reflect operational reality. One of the three hires will be designated as the Governance Technology & Operations lead based on candidate profile and experience. That person will have additional responsibilities for tooling evaluation and selection, IT project coordination, implementation, and ongoing platform administration. The program has executive sponsorship and a pilot-and-extend roadmap. The Specialist will join at program launch, beginning with pilot activities in Sourcing P2P and supporting expansion across GSCO functions.

Requirements

  • At least 5 years of experience in process governance, procedure lifecycle management, audit support, compliance program management, or COE/PMO operations.
  • Demonstrated experience managing a procedure or document library at scale, including ownership assignment, version control, review cadence, and audit trail requirements.
  • Working knowledge of audit control frameworks and ability to map process documentation to control requirements, such as Internal Audit, ISO, SOX, or equivalent.
  • Exposure to or experience in Supply Chain, Procurement, or Global Operations environments sufficient to engage functional subject matter experts as a credible peer.
  • Strong project management skills, including the ability to manage multiple workstreams, track stakeholder deliverables, and escalate systematically.
  • Experience working in or alongside cross-functional teams and building working relationships with Functional VPs, procedure owners, and operational SMEs.
  • High proficiency with document management platforms, workflow tools, or governance systems.
  • Clear, structured written communication skills, including the ability to produce framework documentation, gap analyses, and status reports without heavy supervision.

Nice To Haves

  • Hands-on experience as an Internal or External Auditor, including testing controls, evaluating evidence, and documenting findings; audit support alone is not the stated preference.
  • Familiarity with AI-enabled training tools or process education platforms.
  • Experience coordinating with IT on digital transformation projects.
  • Background in continuous improvement methodologies such as Lean, Six Sigma, or equivalent.

Responsibilities

  • Inventory, assess, and classify GSCO procedures across assigned functions using established BPG framework standards.
  • Assign and confirm named procedure owners in coordination with Functional VPs and their designated points of contact.
  • Manage procedure intake, review scheduling, version control, approval routing, publication, and archival.
  • Identify and document procedure gaps, and provide remediation packages to functional owners with templates, standards, and deadlines.
  • Escalate missed procedure review deadlines according to the BPG escalation framework.
  • Apply the governance model to the procedure library across assigned functions.
  • Map assigned procedures to applicable Internal Audit, BCMS, and IMS controls using the BPG control mapping standard.
  • Maintain the procedure-to-control mapping registry and update it through procedure reviews and audit activity.
  • Support pre-audit readiness reviews with Functional Owners and surface documentation gaps before audit windows.
  • Maintain the audit intake log and route audit evidence requests to the appropriate Functional Owner with an SLA clock initiated.
  • Track Functional Owner SLA compliance and escalate missed SLAs according to the program framework.
  • Capture post-audit lessons learned and contribute findings to framework refinement.
  • Operate the BPG governance platform as the day-to-day system administrator, including the document repository, approval workflow, version control, audit trail, and automated review reminders.
  • Configure governance tooling for each function, maintain access controls in alignment with the ownership model, and identify and escalate tooling gaps or workflow failures.
  • For the designated Governance Technology & Operations hire: lead tooling evaluation and selection with IT; define and document functional requirements; project-manage implementation through go-live; serve as the BPG liaison to IT for configuration, enhancements, and issue resolution; and own ongoing platform administration.
  • Set, schedule, and track risk-weighted procedure review cadences across assigned functions.
  • Trigger training cycles tied to procedure review schedules, assign training to named owners and super-users, and track completion rates.
  • Escalate overdue training completions and report training status to functional leads and the BPG Program Lead.
  • Identify efficiency, automation, and digitalization opportunities through procedure reviews and adherence assessments.
  • Document continuous improvement opportunities, route them to functional leaders through the BPG Program Lead, and track them through resolution while maintaining CI KPI inputs for volume and resolution rate.
  • Collaborate with Functional Owners to define and design procedure and process improvements where assigned.
  • Execute BPG pilot activities in Sourcing P2P, Phase 1, including procedure inventory, gap identification, control mapping, tooling configuration, and training coordination.
  • Support the pilot retrospective and contribute updates to framework documentation.
  • Extend the framework function by function as rollout progresses.
