About The Position

The Program Integration Lead supports the implementation and ongoing operation of new pharmaceutical manufacturer and drug-dispensing programs within Vanscoy Rare Pharmacy. Working under the direction of the Technology, Implementation, and Client Services teams, this position translates program requirements into functional forms, workflows, testing data, documentation, and training materials within IMPACT, ACCESS, WellSky CareTend, and related systems. The Program Integration Lead builds and tests forms and workflows for proprietary systems, prepares test data for new dispensing programs, conducts system demonstrations, trains manufacturer and business partners, supports data-governance activities, and provides implementation and post-launch support.

Requirements

  • Associate or bachelor’s degree in healthcare administration, information systems, business, data management, project management, or a related discipline; equivalent experience may be considered.
  • Two or more years of experience in healthcare, specialty pharmacy, software implementation, business analysis, data management, system support, or training.
  • Experience building electronic forms, workflows, questionnaires, or business processes within a configurable software platform.
  • Experience creating test data, test cases, or user acceptance testing scenarios.
  • Experience delivering software demonstrations or training to internal or external users.
  • Strong written, verbal, organizational, analytical, and problem-solving skills.
  • Ability to document technical, data, and operational requirements clearly.
  • Ability to manage multiple assignments and collaborate with technical, operational, compliance, and external stakeholders.

Nice To Haves

  • Experience implementing specialty pharmacy or pharmaceutical manufacturer programs.
  • Knowledge of referral intake, benefits investigation, prior authorization, patient onboarding, prescription processing, dispensing, inventory, refill management, and clinical documentation.
  • Experience with data governance, data dictionaries, data mapping, data-quality controls, or master data management.

Responsibilities

  • Support the Implementation team with the implementation of new manufacturers, products, limited-distribution drugs, and patient-support programs.
  • Gather and document manufacturer, operational, reporting, compliance, and system requirements.
  • Translate program requirements into forms, workflows, business rules, testing scenarios, training materials, and implementation tasks.
  • Coordinate activities with pharmacy operations, clinical services, IT, compliance, analytics, finance, and external partners, maintaining project plans, requirements, issue logs, meeting notes, testing results, decisions, and outstanding action items.
  • Identify implementation risks, workflow gaps, data concerns, and unresolved requirements and escalate them to the Program Integration Manager.
  • Build and maintain forms, questionnaires, task flows, status rules, notifications, and program workflows within Vanscoy Rare’s proprietary software systems.
  • Configure workflows based on manufacturer requirements and approved pharmacy processes.
  • Ensure forms capture required patient, prescriber, clinical, dispensing, reimbursement, and program info.
  • Maintain naming conventions, version control, configuration documentation, and approval records.
  • Coordinate testing and approval before new or modified workflows are released to production.
  • Monitor workflows after launch and address configuration, usability, or data-quality issues.
  • Develop representative test data for new drug-dispensing programs, system configurations, integrations, and reporting requirements.
  • Create testing scenarios that cover patient enrollment, referral intake, benefits investigation, prior authorization, prescription processing, dispensing, shipping, inventory, clinical documentation, refills, discontinuations, and reporting.
  • Coordinate the loading and maintenance of test data in approved nonproduction environments.
  • Use synthetic or appropriately de-identified data in accordance with organizational privacy, security, and data-handling requirements.
  • Ensure test data includes standard transactions, exceptions, negative scenarios, boundary conditions, and program-specific requirements.
  • Develop test scripts and expected results for functional, workflow, integration, regression, and user acceptance testing.
  • Document defects, data discrepancies, corrective actions, retesting results, and final approvals.
  • Confirm that system configurations and data outputs meet manufacturer and operational requirements.
  • Assist with Vanscoy Rare Pharmacy’s Pharmacy Dispensing Platform (CareTend or similar) setup and workflow changes required for new drug-dispensing programs.
  • Help validate drug, program, patient, prescriber, payer, referral, clinical, inventory, dispensing, billing, and reporting configurations.
  • Support information exchanges between proprietary systems, the pharmacy dispensing platform, reporting platforms, and other connected systems.
  • Investigate workflow, form, access, configuration, and data issues reported by users or partners.
  • Coordinate issue resolution with the Implementations, IT, operations, analytics, or software vendors.
  • Participate in system upgrades, enhancements, regression testing, and change-control activities.
  • Develop and maintain data definitions, standards, ownership info., validation rules, & documentation.
  • Maintain business glossaries, data dictionaries, field mappings, source-to-target specs, & report definitions.
  • Support consistent use of patient, prescriber, drug, manufacturer, program, payer, dispensing, and status data across systems.
  • Identify duplicate, incomplete, inconsistent, or inaccurate data & coordinate remediation with data owners.
  • Participate in data-governance meetings and track assigned decisions, issues, and corrective actions.
  • Support data-quality monitoring and help document controls for critical data elements.
  • Ensure all data is handled according to privacy, security, retention, and access-control requirements.
  • Assist with documenting data lineage between proprietary systems, the pharmacy dispensing platform, external partners, and reporting systems.
  • Support audits, accreditation reviews, manufacturer reviews, and compliance requests involving data.
  • Support the development and execution of manufacturer training initiatives for proprietary systems, the pharmacy dispensing platform, and applicable program workflows.
  • Prepare and conduct system demos for prospective and existing business partners.
  • Train partner users on forms, workflows, dashboards, reports, data requirements, user responsibilities, and escalation procedures.
  • Tailor training content to each manufacturer’s program requirements and audience.
  • Develop presentations, user guides, quick-reference materials, recorded demonstrations, exercises, and frequently asked questions.
  • Use test data to provide realistic, hands-on training without exposing protected or production information.
  • Coordinate partner access requests and confirm that appropriate roles and permissions are established.
  • Track training attendance, completion, access readiness, feedback, and follow-up needs.
  • Provide post-training assistance during implementation, launch, and stabilization.
  • Help evaluate training effectiveness and recommend improvements to content or delivery methods.
  • Develop and maintain workflow diagrams, configuration documents, standard operating procedures, implementation checklists, and training materials.
  • Maintain organized records of requirements, approvals, test data & results, training, & production changes.
  • Gather feedback from internal users, manufacturers, and other partners.
  • Recommend improvements to forms, workflows, test processes, data quality, training, & implementation procedures.
  • Develop standardized, reusable implementation templates while supporting program-specific requirements.
