YOUR MANDATE You will be responsible for supporting the strategy and client service team by providing accurate and timely support in administration, project coordination, and reporting.

Requirements

  • A post-secondary degree in administration, accounting, or equivalent;
  • 1-2 years of experience in an administrative or project coordinator role;
  • Solid knowledge of Microsoft Office software (Word, Excel, PowerPoint);
  • Strong communication skills (written and oral);
  • Ability to manage conflicting priorities in a fast-paced environment with tight deadlines;
  • Attention to detail and ability to maintain a high degree of accuracy;
  • Strong organizational and multitasking skills;
  • Good stress management and priority management.
  • Fluency in French and English languages, both spoken and written - As our global network deals daily with national and international clients, a level of English that enables you to understand and express yourself fluently in both French and English is a basic requirement for this role.

  • Good knowledge of the MediaOcean system (an asset)

Responsibilities

  • Perform all monthly financial tasks for clients, from authorization to reconciliation with suppliers.
  • Be responsible for monitoring budget management across all disciplines.
  • Maintain the project management tool to ensure the efficiency and speed of end-of-month best practices.
  • Review billing drafts and media purchase authorizations to ensure all information is accurate.
  • Coordinate and ensure that all billing drafts are approved by the designated individuals.
  • Ensure that client purchase authorizations are received and retained.
  • Review and approve real-time billing packages prior to distribution to clients, and follow up internally on any billing discrepancies.
  • Be responsible for creating estimates and conducting the campaign closure process within the specified time frame.
  • Lead and ensure that data entry is completed accurately and on time.
  • Liaise with the strategy team and accounts receivable to resolve discrepancies between supplier invoices.
  • Manage client accounts and follow up on overdue invoices with clients.
  • Maintain budget control reports in accordance with client reporting requirements.
  • Keep all tracking documents up to date.
  • Maintain a filing system for client files.
