About The Position

Haycon is a Roxbury-based construction company seeking a Bookkeeping & Administrative Assistant to support multiple office functions. This role is based in the office from 8:00 am - 4:30 pm, Monday - Friday, and is suited to someone with great Customer Service skills and a can-do attitude.

Requirements

  • Previous Bookkeeping experience required.
  • QuickBooks Online strongly preferred.
  • Great Customer Service skills.
  • Can-do attitude.

Responsibilities

  • Assist with Accounts Payables and Receivables.
  • Create and send invoices.
  • Track and lodge payments received.
  • Provide payroll support for bi-weekly payroll.
  • Answer telephones, screen calls for Executives, and email phone messages.
  • Direct calls to the appropriate person and/or department.
  • Return all calls coming into your line daily.
  • Process, distribute, and open all incoming mail for all companies in the building.
  • Process and distribute incoming/outgoing UPS/Fedex deliveries.
  • Ensure all deliveries are delivered to the designated area.
  • Stock copiers and fax machines with paper, toner, etc.
  • Notify and include employees when placing stationery/supplies orders.
  • Have equipment maintained when necessary.
  • Order office supplies, kitchen supplies, and janitorial supplies.
  • Open and sort mail for multiple companies.
  • Input all invoices into SharePoint database.
  • Track credit card receipts and enter in SharePoint.
  • Maintain files (paper files & electronic files).
  • Create and maintain a log of user names and passwords.
  • Perform QuickBooks data entry.
  • Assist personnel with computer/cell phone issues.
  • Coordinate with IT for computer maintenance & issues.
  • Set up meetings and schedule conference rooms.
  • Assist Accounting, Project Management & Estimating departments as needed.
  • Control visitor traffic, schedule conference room meetings, and conduct walk-throughs when necessary.
  • Maintain a safe environment with proper lighting, signage, and disability access, and inspect the building for wear & tear.
  • Oversee security, fire prevention, and other safety systems.
  • Schedule regular building maintenance and contact professionals for repairs as needed.
  • Ensure that occupants are provided with proper utilities, assist with emergency response and evacuations.
  • Maintain tenant records and bill monthly lease invoicing.
  • Conduct weekly walk-arounds outside of the building to ensure no trash, nails, screws, etc., and that parking areas are free of debris.
