About The Position

The role of Bookkeeper is a full-time position in the company and will involve collaborating with the Principals and Director of Operations to process transactions, manage financial records, and provide support regarding key financial decisions. As a full-service architecture, interior design, and construction studio, we are looking to bring on a professional who is a self-starter and able to carry out the duties below. This position will offer the opportunity to collaborate with our internal design team and to work with some of the most successful and affluent homeowners and businesspeople across Canada.

Requirements

  • Diploma or Degree in Accounting; CPB designation an asset
  • Minimum 2 years of relevant post-graduate experience in bookkeeping
  • Strong knowledge of accounting principles and practices
  • High-level skill with accounting software and Microsoft Office applications (specifically Microsoft Excel); experience in Deltek Ajera an asset
  • Fluent understanding of accounts payables and receivables, corporate tax and HST installments, journal entries, payroll and source deductions, and reconciliation procedures
  • Experience in generating invoices, managing and updating budgets, reconciliations, and creating estimates and purchase orders
  • Excellent English written and verbal communication skills
  • Detail-oriented, proactive, and well-organized problem solver
  • Trustworthy and well-understood in matters requiring confidentiality
  • Excellent English written and verbal communication skills

Responsibilities

  • Input transactions into the accounting system
  • Prepare and send client invoices, follow up with outstanding receivables and other owed financial obligations, deposit client payments
  • Perform chequing, VISA, and other reconciliations
  • Input and manage company budgets
  • Add and set up projects in the accounting system
  • Input and record additional services and/or change orders into the accounting system
  • Assist in inputting and managing construction project budgets
  • Ensure all construction trade invoices are appropriately submitted per the office payment standards
  • Collaborate with the Director of Interior Design for furniture procurement
  • Prepare client procurement estimates, purchase orders, and final invoices
  • Serve as the primary point of contact for all A/P vendors
  • Process vendor payments, including assisting with the approval process, writing cheques and processing credit card payments, and maintaining a log of all payments sent
  • Add and set up new employees in the accounting system
  • Administer payroll and source deductions, including remittance of T4s
  • Coordinate corporate and personal income taxes
  • Coordinate with the company accountant to file the HST, review company financial statements, and prepare the company file for the fiscal year-end
  • Assist in insurance document submissions and WSIB reporting
  • Remit T4s
  • Ensure the highest level of accuracy and precision in all areas of work
  • Assist the Principals in providing and suggesting KPIs and other financial information required for decision-making
