About The Position

We are seeking a highly organized and bilingual Administrative Assistant to provide direct support to executive leadership. This role plays a key part in keeping daily operations running smoothly by managing schedules, coordinating communications, and handling a variety of administrative responsibilities in a fast-paced environment. The ideal candidate is detail-oriented, proactive, and comfortable managing multiple priorities while collaborating with teams across operations, procurement, finance, sales, and production.

Requirements

  • High school diploma or equivalent required
  • 2–5 years of administrative or executive support experience
  • Fluency in both English and Spanish required
  • Proficiency with Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
  • Strong calendar management and organizational skills
  • Excellent written and verbal communication abilities
  • Ability to multitask and adapt in a dynamic work environment

Nice To Haves

  • Associate’s or Bachelor’s degree in Business Administration or related field preferred
  • Experience supporting senior leadership preferred
  • Background in food manufacturing, CPG, or operations-focused environments is a plus

Responsibilities

  • Manage executive calendars, meetings, and scheduling priorities
  • Coordinate internal and external meetings, including agendas and follow-up items
  • Screen and prioritize emails, calls, and meeting requests
  • Prepare and format reports, presentations, and professional correspondence
  • Organize and maintain confidential files and records
  • Coordinate travel arrangements and itineraries
  • Process expense reports and maintain supporting documentation
  • Assist with planning company meetings, events, and initiatives
  • Support communication between executive leadership and operational teams
  • Track action items, deadlines, and ongoing projects
  • Prepare reports, summaries, and tracking documents as needed
  • Serve as a professional point of contact for employees, candidates, vendors, and external stakeholders
  • Help direct employee and candidate inquiries to the appropriate resources
  • Maintain professionalism and discretion with sensitive information
