About The Position

The Retirement Plan Administrator is responsible for the administration, compliance, and Team Member customer service aspects of our 401(k) plan, deferred compensation plan, and other related rewards programs. This position is responsible for accurately transmitting and auditing money and information for the company and its Team Members with a high degree of accuracy. This role is the primary point of contact for team members concerning account related questions regarding their 401(k) account. The Retirement Plan Administrator is also responsible for administering the Foundations Emergency Savings Program through file management, data auditing, and coordinating the processing of deductions and incentives.

Responsibilities

  • Compile and audit weekly contribution/match/loan/demographic information from payroll and transmit information back and forth with the record keeper with a high degree of accuracy.
  • Serve as primary point of contact for those with a vested interest in the Plan by communicating and resolving complex financial issues and sensitive situations including, but not limited to, how the plan works, identifying and facilitating death beneficiary transfers and Qualified Domestic Relations Orders, and delivering decisions that may be met with resistance.
  • Support leader for 401(k) committee meetings and executive leadership requests by researching, preparing, and/or editing data and presentations; attend meetings and offer support as a knowledgeable program representative.
  • Monitor data accuracy across systems, investigate discrepancies, and coordinate corrections with Payroll, Accounting, and the recordkeeper.
  • Troubleshoot plan administration errors and partner with HRIS to prepare, run, and validate required and ad hoc reports on the established reporting schedule.
  • Maintain knowledge of legal and regulatory changes, trends and other developments affecting retirement benefits.
  • Implement new processes and procedures as regulations/laws change, plan document changes, system upgrades occur or upon request from leader(s).
  • Lead Annual True Up Match process, execute tasks and TM notification letters as requested by leader; have leader give final approval.
  • Lead Year-end filings by compiling reports and notices for year-end testing and government filings; work with Fidelity or HRIS to obtain needed reports; perform testing as required for year-end process.
  • Lead 401(k) audit; answer routine questions and inquiries from auditor, compile data, reports, and necessary documents requested by auditor; submit to manager for review and approval.
  • Promote the 401(k) plan with business partners and Fidelity; initiate Communication outreach – pushing offsite/onsite solutions.
  • Perform other duties as assigned to help the 401(k) program run efficiently.
  • Manage the day‑to‑day administration of the Foundations Emergency Savings Program, including receiving, reviewing, and transmitting enrollment, deduction, and incentive files between internal systems and external partners with a high degree of accuracy.
  • Audit recurring files to ensure correct deduction setup, incentive eligibility, and proper funding; identify and resolve discrepancies in collaboration with Payroll, HRIS, and third‑party administrators.
  • Monitor data accuracy across all systems involved in the program and coordinate corrections to ensure participants’ contributions and incentives are processed as intended.
  • Support internal partners regarding program processes, status of deductions or incentives, and resolution of routine to moderately complex issues.
  • Troubleshoot system or file related errors by researching root causes, partnering with HRIS or third‑party vendors as appropriate, and ensuring timely corrective action.
  • Recommend process improvements that enhance accuracy, efficiency, and the team member experience of the Emergency Savings Program.
  • Assist in the planning and execution of projects of routine to moderate complexity as requested by leader and/or senior leaders.
  • May lead less complicated projects.
  • Support larger team as requested in execution of projects.
  • Represent the department on projects that are done in partnership with other business units or departments as assigned.
