About The Position

The purpose of this position is to provide office reception and administrative support to the operations within Beach Building Services, in a variety of office clerical and administrative support functions. This position is responsible for coordinating a wide range of administrative functions that ensure smooth day-to-day office operations. Provides direct support to the Director of Business Operations.

Requirements

  • Equivalent to five years of administrative support experience required.
  • Proficiency in standard office software applications, including word processing, spreadsheets, and email, is essential.
  • Ability to quickly learn, independently interpret, and apply complex policies and procedures while recognizing and addressing deviations when they arise.
  • Ability to communicate with an ethnically and culturally diverse campus community.
  • Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.
  • Demonstrated appropriate professional behavior, treating others with civility and respect, and refusing to tolerate abusive conduct is expected of all employees.

Responsibilities

  • Manages calendar for Director of Business Operations.
  • Complete and carryout special projects/tasks as assigned.
  • Requests and monitors service of office equipment.
  • Serves as main point of contact for supply orders for Admin office.
  • Ensures stock of office supplies are maintained; maintains various office logs; tracks and submits Copier reports.
  • Provide fiscal support in tracking procurement, maintaining P-Card, processing invoices.
  • Plans, documents and reconciles travel for BBS administration.
  • Point of contact and main organizer of BBS and campus supported events.
  • Assists Payroll and Personnel administratively with basic office duties such as filing, organizing, scanning documents, interview scheduling, and print shop orders.
