About The Position

The Automotive Dealership Accounting Clerk – Warranty Cancellations processes and reconciles cancellations of vehicle service contracts, extended warranties, GAP coverage, and other finance and insurance (F&I) products. The role works with dealership personnel, financial institutions, and third-party product administrators to process cancellation requests, calculate refunds, and account for transactions accurately and on time. Additional work includes maintaining detailed records, reconciling cancellation schedules, resolving discrepancies, and following company policies and applicable regulatory requirements. The position calls for a detail-oriented, organized person who can maintain accuracy and efficiency in a fast-paced automotive accounting environment.

Requirements

Proficiency in Microsoft Office, including Outlook, Word, and Excel.
Successful completion of pre-employment screening.
Authorization to work in the USA.
Valid driver's license and acceptable driving record.

Responsibilities

Process cancellations for vehicle service contracts, extended warranties, GAP coverage, and other F&I products.
Review cancellation requests to ensure required documentation is complete and accurate.
Calculate and process customer refunds according to contract terms and dealership policies.
Submit cancellation requests to lenders, warranty companies, and third-party administrators.
Follow up on pending cancellations and refunds to ensure timely processing.
Post cancellation transactions, refunds, and adjustments into the accounting system.
Reconcile warranty cancellation schedules and identify outstanding balances.
Research and resolve discrepancies related to cancellations, refunds, and accounting entries.
Follow dealership safety procedures and operate vehicles responsibly.
Perform other duties as assigned by management.
