About The Position

Provides assistance and accurate monitoring, recording, and communication of student attendance at a secondary school.

Requirements

  • Oral and written proficiency in English and Spanish.
  • Strong working knowledge of Microsoft Word and Excel.
  • Ability to type 35+ words per minute.
  • Knowledge of student information systems, preferably Infinite Campus.
  • Experience with managing and entering data.
  • Detail-oriented individual who is willing to do what it takes to get the job done.
  • Ability to multi-task in a fast-paced environment.
  • Ability to take direction as well as take initiative.
  • Positive, professional demeanor.
  • High school diploma or equivalent required.

Nice To Haves

  • Prior experience working in a school office a plus.
  • Some college preferred.

Responsibilities

  • Receive, verify, and process incoming attendance data from teachers, parents, students, administrators, and other student services staff.
  • Make and receive phone calls and notes regarding student absences.
  • Receive and relay messages to students and parents as necessary.
  • Convey information to students and parents about attendance requirements, policy, and the call-in process to avoid unexcused absences.
  • Enter daily attendance and related student data onto a data entry screen for a student database.
  • Edit and revise data, generates information and reports as requested and according to established timelines.
  • Refer serious attendance problems according to established procedures.
  • Assist in identifying and resolving problems of students with frequent absenteeism.
  • Compile periodic attendance and excused absence lists and provides assistance and troubleshooting at the school site level for attendance data.
  • Issue and verify student off campus passes.
  • Records and may monitor independent study agreements and other forms of attendance.
  • Greet and assist students, parents, staff, and any visitors warmly and in a professional manner.
  • Maintain appropriate visitor documentation.
  • Type and distribute school correspondence including letters, memos, and weekly newsletters.
  • Answer busy phones, provide answers, take messages, and direct calls to the appropriate staff member.
  • Assist in receiving and organizing supplies and materials.
  • Prepare outgoing student mailings and distribute incoming mail.
  • Maintain a clean and presentable desk space and office environment.
  • Maintain and replenish the visitor sign in sheets in the Synergy school office.
  • Support annual student recruitment, lottery, and enrollment process.
  • Update student information in the school’s Student Information System (Infinite Campus) including enrolling new students, withdrawing students, and preparing transcripts.
  • Ensure confidentiality and security of work space, files, and all information pertaining to students, parents, staff, and community.
  • Ensure that student records are locked up and secured each day.
  • Help to maintain a positive, nurturing, and achievement-oriented school culture that includes college preparation for all students.
  • Build relationships with families to keep them well-informed and support their needs.
  • Support staff members with office assistance when needed and maintain positive working relationships with everyone on staff.
  • Assist with and attend meetings on evenings and weekends when necessary.
  • Attend to student needs and injuries, including maintaining the documentation of student first aid visits to the office.
  • Assist with student supervision at school or on field trips when needed.
  • Assist with the implementation of the School Safety Plan, including helping to replenish any emergency supplies on a regular basis.
  • Assist leadership team with various tasks as needed.
  • Perform other duties as required that support the overall objective of the position.
