Treaty Oak is seeking an organized, service-oriented Associate, Office and Administration to support day-to-day operations at our Austin headquarters and employees across all business areas. The ideal candidate is detail-oriented, accurate and professional, and anticipates needs early.

Requirements

  • High School diploma required; Associate’s or Bachelor’s preferred, or equivalent experience.
  • 1+ years of experience in administrative support, office coordination, reception or a similar role.
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams), DocuSign, Acrobat Pro.
  • Detail-oriented, organized and discreet, with strong written and verbal communication skills.
  • Professional, service-oriented approach to supporting employees and visitors.
  • Proactive problem-solving skills and the ability to work independently and as part of a team.

Responsibilities

  • Open and close the office and keep conference rooms, kitchen and common areas ready.
  • Cover reception, greet visitors, manage building access, and handle mail, packages and shipments.
  • Perform copying, scanning and data entry, and route documents for approval per TOCE guidelines.
  • Submit maintenance and service requests, and assist with office moves and workplace projects.
  • Support EHS&S with safety audits, PPE disbursement, and emergency and continuity procedures.
  • Provide in-office backup coverage for the Director, Office and Administration.
  • Book employee travel in Treaty Oak’s travel platform and answer routine travel questions.
  • Schedule meetings, interviews and rooms, and support executives with calendars and expenses.
  • Order office and kitchen supplies within budget and coordinate vendor deliveries and service.
  • Collect, code and submit invoices and receipts, and help track office spend against budget.
  • Maintain files, vendor and incident records, office procedures and IT equipment inventory.
  • Support HR and IT with interview logistics, onboarding, offboarding and workspace setup.
  • Support company events, offsites and culture initiatives, including the VIBE committee.
