About The Position

The Office of the Public Guardian and Trustee (OPGT) branch invites applications for an Assistant, Trust Administration role. This position is a crucial part of a multi-disciplinary team, working closely with Public Trustee Representatives, supervisors, lawyers, tax officers, and other professional stakeholders to support Public Trustee clients. The focus is on providing support to the Public Trustee team in the day-to-day administration of estates and trusts, including represented adults, deceased estates, and official guardian files. The ideal candidate is a confident, organized self-starter with a passion for optimizing processes.

Requirements

  • High school diploma combined with a minimum of 3 years' related experience providing administrative support for at least one of the following areas: Office administration experience. Legal or financial administration in an estates or trust office and/or Social Services administration would be preferred.
  • Demonstrated experience using Microsoft Office Suite (e.g. Word, Outlook, Excel, and SharePoint).
  • Experience in supporting a high-volume program area.

  • Experience in client-focused program delivery with an emphasis on understanding and meeting the needs of vulnerable clients.

Responsibilities

  • Providing administrative assistance in researching information, contacting clients, family members, and other stakeholders for information, and preparing correspondence and documentation.
  • Reviewing and authorizing client payments within the scope of authority and reconciling invoices.
  • Preparing court applications and other legal documents.
  • Managing a variety of tasks, including completing benefit applications, creating family trees, and developing and maintaining spreadsheets to collect data and monitor workflow.
  • Ensuring adherence to established Trust Administration policies and procedures.
