About The Position

This position is responsible for all administrative functions, including operating a multi-line switchboard, directing calls, taking messages, responding to client inquiries, and entering client data into a proprietary database system.

Requirements

  • Strong focus on customer service, interpersonal and organizational skills
  • Pleasant and professional telephone manner
  • Ability to perform tasks with speed and accuracy
  • Excellent computer skills, including Word, Excel, PowerPoint, and Outlook
  • Ability to communicate in French and English, both spoken and written
  • Strong organizational skills and attention to detail
  • Ability to multitask and quickly adapt to changing priorities
  • Ability to work in a team
  • Flexibility for schedule changes
  • Ability to effectively manage escalations and time-critical issues
  • Obtention of a certificate or diploma in office administration
  • Minimum 1 year of office experience

  • Background in chemistry and/or geology
  • Reception experience

Responsibilities

  • Maintain a positive work environment through active team participation and a good attitude, focused on quality customer service
  • Greet all internal and external clients courteously, determine their needs, and direct them to the right person
  • Operate a multi-line telephone switchboard, direct calls, and take messages as needed
  • Process a variety of documents, filing
  • Collect finalized certificates and invoices
  • Pick up faxes and distribute them to the appropriate area, sort and log all outgoing mail
  • Receive, sort, log, and distribute all mail received from the post office, courier services, and messengers, and ensure timely delivery of shipments
  • Order office supplies and maintain office supply inventory, maintain office equipment
  • Adhere to established safety rules and comply with all ALS health and safety policies and procedures
  • Perform data processing occasionally
  • Perform other duties assigned by the supervisor
