Requirements

  • Exercises professional judgment to determine treatment of exceptional circumstances.
  • Knowledge of PeopleSoft as well as databases is required to process and monitor applicants highly preferred.
  • Knowledge of the University admission procedures and requirements.
  • Working knowledge of word processing, spreadsheet and graphics programs.
  • Ensure confidentiality to students who request, or are identified as requiring such assistance.
  • Use sound judgment in interpreting issues, initiate referrals to other campus offices, departments, individuals and programs which can provide adjunct assistance as appropriate.
  • Develop and implement other projects related to retention and/or overall department goals and efforts.
  • Ability to work with diverse faculty, staff and student population.
  • Ability to work as part of a team through close collaboration with colleagues and coordinate with others.
  • Ability to work effectively and productively as part of a team by establishing and maintaining cooperative working relationships maintain a positive and respectful attitude.

  • Must be able to respond to complex inquiries from the public, residents, parents, prospective residents, CSULB employees and students.
  • Due to telephone and in-person interactions, must possess the ability to understand, interpret and respond orally and in writing) to a broad range of complex issues, procedures, policies, ideas, information and instructions.
  • Excellent writing and editing skills (including grammar, sentence construction and vocabulary) to compose and proofread professional level copy of letters, proposals, reports, meeting notes, invitations and announcements.
  • Outstanding grammar, typing, and proofreading skills.
  • Must be able to read, speak, and understand at a level appropriate to the position.
  • Experience with editing and proof-reading a variety of written documents and publications.
  • Interpersonal skills to establish and maintain cooperative working relationships & communicate clearly & effectively with vendors, staff, peers, administrators, Campus personnel, clients, state officials, and the public.
  • Skill in developing, implementing and assuring compliance with office and University policies and procedures while maintaining good working relationships with staff at all levels within and external to the University.
  • Demonstrated skill in conducting research, developing reports, and presenting findings.

  • Experience maintaining an administrator’s calendar, arranging meetings, establishing agendas and participating in meetings with small and large groups of people.
  • Ability to provide excellent customer service to the Campus community, vendors, and other outside agencies.
  • Skill in performing customer service in a polite and timely fashion: ability to identify what customer needs and reroute him/ her to the correct department; ability to relay customer requests and complaints accurately and appropriately; to describe and convey services provided by the Division.
  • Experience with working with a diverse group of individuals and multicultural university environment.
  • Demonstrated skill in assisting and speaking with persons of various ages, socio-economic, cultural and/or education backgrounds.
  • Ability to coordinate, organize and demonstrate command of a complex and continuously changing array of information, dates, places and people in a systematic way in order to optimize efficiency and minimize duplication of effort in the process of completing administrative support projects.
  • Skill in making travel arrangements; familiarity with airline schedules, rental car reservations and University travel regulations, etc.

  • Equivalent to a bachelor's degree with upper or coursework in counseling and guidance, human relations, or related fields and three years of professional experience in one of the student services program areas required.
  • Work occasional evenings and or weekends.

Nice To Haves

  • Knowledge of PeopleSoft as well as databases is required to process and monitor applicants highly preferred.
  • Knowledge of Adobe Creative Suite, Adobe Contribute and html would be a plus.
  • Experience maintaining an administrator’s calendar, arranging meetings, establishing agendas and participating in meetings with small and large groups of people.

  • Experience working in a university setting or housing office preferred.
  • Thorough knowledge of online student information systems strongly preferred.
  • Comprehensive knowledge of University computer system (CMS) for advising students, highly preferred.
  • Extensive experience of over 10 years in academic advising highly preferred.
  • Graduate degree or work-in-progress in student services preferred.
  • A valid CA driver's license is preferred to drive to various outreach events.

Responsibilities

  • Support the Long Beach College Promise (LCBP) program.
  • Lead on/off campus outreach strategies, communication, event planning, and data tracking for LBCP students.
  • Support UOSR recruitment efforts for all CSULB prospective students.
