About The Position

As a global leader in live productions, systems integration and virtual technology, Solotech is seeking an Assignment Coordinator for a 3-month contract. This role is hybrid, requiring two days per week in the office. The Assignment Coordinator will be responsible for resource assignments for local and international projects, working under the Director, Workforce Planning and Production Employees Management.

Requirements

  • AEC or DEP in administration or any other relevant training.
  • 2 to 3 years of relevant experience in the entertainment industry in a similar position.
  • Excellent mastery of Office suite software (Excel, Word, Teams, etc.).
  • Strong organizational skills, a keen sense of urgency, demonstrating judgment, tact, and diplomacy.
  • Very strong planning, organization, and coordination skills, including the ability to prioritize in a context of tight deadlines.
  • Strong customer approach and interpersonal relationship skills.

Nice To Haves

  • Proficiency in French, both written and spoken.
  • Technical experience.

Responsibilities

  • Receive technical resource requests per project, analyze needs, and define the right type of resource to allocate according to contract parameters.
  • Assign employees to positions that match their qualifications to ensure operational success and improve customer service quality.
  • Schedule employee shifts according to system parameters, ensuring compliance with deadlines and budgets.
  • Plan and coordinate accommodation, per diem, and transportation for employees.
  • Transmit additional information to employees about assignments (local tours and events).
  • Monitor and validate project timesheets.
  • Provide support for the team’s administrative operations, including payroll processes, creating external resources in company systems, and processing related invoices.
  • Communicate relevant information to supervisors, including leave requests, employee availability, and other workforce-related updates.
  • Maintain recurrent communication and follow-up with the production employee group.
  • Maintain constant communication with various internal labor requestors in collaboration with the Supervisors team.
  • Perform any other related tasks as assigned.
