About The Position

Midwest Orthopaedics at Rush (MOR) is a nationally recognized leader in comprehensive orthopedic services, with its Orthopedic Program at Rush University Medical Center ranked top 10 in Orthopedics by U.S. News and World Report. Founded in 2003, MOR comprises internationally renowned Orthopedic and Spine surgeons who pioneer the latest advances in technology and surgical techniques. MOR doctors serve as the official team physicians for the Chicago White Sox, Chicago Bulls, Chicago Fire Soccer Club, and DePaul University Athletics. This full-time Appointment Coordinator position is based at the corporate office in Westchester, IL, and is primarily responsible for booking appointments for all seven orthopedic offices by interacting politely and helpfully with patients, physicians, and callers. The role involves entering demographic and insurance data into the NextGen and Athena systems. In-person training will be provided onsite, with the potential for remote work after completion. The work schedule is Monday-Friday, with no weekend or holiday work required.

Requirements

  • High school diploma or general education degree (GED)
  • Operate basic office equipment such as a computer, phone and fax machine.
  • Multi-task and work in a fast-paced environment.
  • Attention to detail.
  • Communicate effectively verbally and in writing.
  • Work and communicate with patients, physicians and staff in all levels of the organization.

Nice To Haves

  • Call center experience is a plus
  • A minimum of one year work experience, preferably in a medical office setting.

Responsibilities

  • Work with patients/physicians/callers in a polite and helpful manner to book appointments, enter demographic data, insurance information, and any other relevant information into the NextGen and Athena system.
  • Reschedule patient appointments when necessary and relays messages to staff.
  • Follow up on patients who are missing necessary information.
  • Answer telephone, screen calls, take messages, and provide information.
  • Maintain and update current information on physician’s schedules ensuring that patients are scheduled properly and appointments are confirmed.
  • Supplement office staff when requested and is receptive to additional assignments/projects as delegated by supervisor.
  • Maintain a positive demeanor with patients, peers, supervisors, and physicians, especially when receiving feedback or direction.
  • Assist staff members when necessary in a positive and professional manner to ensure the patients receive the utmost in care.
  • Perform work with accuracy to minimize error correction by other staff members.
  • Double check data entry to ensure the correct information has been entered into the NextGen and Athena system.
  • Organize and prioritizes work to make sure projects are completed in a timely and efficient manner.
  • Stay abreast of and complies with all state and federal laws including HIPAA, ADA, OSHA, and FLSA.
  • Adapt to change in a positive and professional manner.
  • Other duties as assigned.
