About The Position

The AP/AR Clerk supports the company’s financial operations by processing vendor invoices, customer payments, billing, account reconciliations, and related financial records. This position helps maintain accurate, timely, and well-organized accounting information while providing professional service to vendors, customers, and internal departments.

Responsibilities

  • Review vendor invoices for accuracy, appropriate approvals, and supporting documentation.
  • Enter invoices and credit memos into the accounting system.
  • Match invoices with purchase orders and receiving documentation.
  • Prepare scheduled check runs, ACH payments, and other vendor payments.
  • Reconcile vendor statements and investigate discrepancies.
  • Maintain vendor records, including W-9 forms and payment information.
  • Respond to vendor questions regarding invoices and payment status.
  • Assist with year-end 1099 reporting.
  • Prepare and issue customer invoices and credit memos.
  • Record customer payments and apply them to the appropriate accounts.
  • Monitor aging reports and follow up on past-due balances.
  • Research and resolve billing and payment discrepancies.
  • Maintain accurate customer account and contact information.
  • Prepare customer statements and collection correspondence.
  • Assist with credit applications and account setup.
  • Reconcile AP and AR subledgers to the general ledger.
  • Assist with month-end closing activities.
  • Prepare bank deposits and supporting documentation.
  • Assist with audits by providing requested documentation.
  • Follow internal controls, accounting procedures, and confidentiality requirements.
  • Perform other accounting and administrative duties as assigned.
