About The Position

The Annual Giving Coordinator, under general supervision, creates plans and administers programs and activities to solicit gifts from donors to include personal solicitations, telemarketing and mail. Works closely with the Director of Alumni and Annual Giving and other staff to prepare and coordinate the annual giving program to meet the financial goals of the organization.

Requirements

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.
  • No prior experience required.
  • Experience gained through internships, student employment, volunteer activities, or related work in administrative support, communications, customer service, project coordination, or nonprofit/higher education environments is preferred.
  • Ability to effectively communicate both orally and in writing
  • Ability to positively and professionally interact with donors and staff
  • Ability to work with sensitive information and maintain confidentiality
  • Effective verbal and written communication skills
  • Strong interpersonal and organizational skills
  • Working knowledge of word processing, spreadsheet, and database applications.
  • Ability to multitask and work cooperatively with others

Nice To Haves

  • Experience or coursework in marketing, communications, public relations, nonprofit advancement, higher education, or a related field.

Responsibilities

  • Provides administrative and program support to the Director of Annual Giving in the coordination, implementation, and tracking of annual giving initiatives, including preparation of work plans, procedures, correspondence, reports, and other departmental materials.
  • Assists with annual giving campaigns and donor engagement activities by coordinating direct mail and email appeals, supporting online giving initiatives, maintaining campaign information, and assisting with stewardship efforts for annual giving donors and supporters.
  • Supports alumni and constituent engagement efforts by assisting with outreach activities, event coordination, and communication efforts while maintaining positive relationships with donors, prospects, and campus partners.
  • Provides operational and administrative assistance for fundraising activities by maintaining records, preparing written communications and reports, coordinating with campus constituencies, and supporting the Director of Annual Giving with departmental projects and initiatives.
  • Assists with the implementation and adherence to university advancement policies, procedures, and fundraising guidelines by maintaining accurate documentation, supporting consistent processes, and ensuring annual giving activities align with institutional standards and requirements.
  • Supports compliance efforts related to donor communications, gift processing, reporting, and stewardship activities by following established policies, maintaining appropriate records, and assisting with updates to procedures and operational practices.
  • Assists the Director of Annual Giving with special projects and strategic initiatives by coordinating timelines, designing and preparing materials, tracking progress, and providing administrative support to ensure successful completion.
  • Supports the planning and execution of advancement projects, including donor engagement initiatives, annual giving campaigns, events, and other departmental activities that contribute to university fundraising goals.
  • Participates in cross-functional projects with campus partners and advancement teams by gathering information, preparing reports, coordinating logistics, and assisting with project-related communications and deliverables.
  • Supports effective communication with donors, alumni, campus partners, and other stakeholders by preparing correspondence and designing marketing materials, coordinating outreach efforts, and assisting with engagement activities that promote positive relationships and advancement goals.
  • Assists with stakeholder engagement initiatives by collaborating with internal and external constituents, providing timely follow-up and information, and supporting the Director of Annual Giving in fostering strong partnerships across the university community.
