About The Position

This is a part-time, hourly wage position, required to work less than 1500 hours per year. The Virginia State Anatomical Program (VSAP), established in 1919, is the sole entity in Virginia authorized to accept donations of human bodies for scientific study. VSAP's core mission is to educate health professionals by providing donors for anatomy and surgery instruction, as well as for medical research, to the state's medical schools, colleges, universities, and research facilities. This role functions as part of the administrative team for VSAP, offering administrative support for the program's activities. Key duties involve office and administrative tasks, data entry, records maintenance, filing, and customer service. The position is responsible for managing a multi-line phone system, answering inquiries about the Virginia State Anatomical Program to determine donor acceptance for whole body donation. This work demands discretion, interpretation of laws, policies, procedures, or processes, and frequent interaction with constituents. The role may also provide assistance to other work units within the program and may involve handling donors and/or cremated remains. Wage employees serve at the will and pleasure of the appointing authority, with continuing employment contingent on available funding and business needs. Wage employees are not covered by the Virginia Personnel Act and are thus ineligible for benefits provided to salaried employees, such as leave credits, holiday pay, insurance, or access to the grievance procedure. They are paid only for hours worked. Virginia state law mandates that wage employees do not exceed an average of 29 hours per week over a year and may not work more than 1,500 hours during the period of May 1 to April 30 of the following year (the Standard Measurement Period). Rehire as a wage employee is only possible after the next Standard Measurement Period has begun once the 1,500-hour maximum is reached. Wage employees are eligible to apply for all classified positions, including those limited to State Employees Only. If hired into a classified position, they may purchase retirement credit for their time as a wage employee.

Requirements

  • Knowledge of general office procedures, computer and software technology, use of policies & procedures and customer service.
  • Experience working in an office setting with a high-call volume and/or call center environment.
  • Knowledge of anatomy, physiology, and medical terminology.
  • Strong interpersonal and communication skills, orally and written.
  • Strong organizational skills and experience with software applications and Microsoft Office products (i.e. WORD, EXCEL, and database entry) and general office equipment (printer/scanner/copier, fax, calculator).
  • Experience with setting up and maintaining files & manuals.
  • Experience in maintaining confidentiality in a professional setting.
  • Ability to work in an environment with contact with deceased human remains.
  • Professional experience with working independently and dealing with sensitive issues requiring discretion and sound judgement.
  • Ability to lift up to 75lbs and assisting with pushing and pulling up to 200lbs.
  • Experience in following and applying established procedures and applicable policies.
  • Valid driver’s license.

Nice To Haves

  • Experience working in a death care industry setting.
  • Understanding of state and local government, such as relevant programs, policies and Virginia Code.
  • Knowledge of processing death certificates and utilizing the State EDRS system.
