About The Position

The Department of Labor and Industry’s (DOLI) Northwest Region Office is seeking an Administrative and Office Specialist III / Program Support Technician. This position serves as the first point of contact for employers and the general public, listening to complainants and referring them to the appropriate resources. It provides critical support to DOLI professional staff in areas such as Virginia Occupational Safety and Health (VOSH), Wage Protection Division, Consultation Programs, and the Voluntary Protection Program (VPP). The role also acts as a liaison with Headquarters Offices staff. Duties include assisting callers and visitors, managing the phone and voicemail system, handling mail, preparing correspondence, maintaining confidential records, data entry, and managing physical and digital files. This role offers an opportunity to make a meaningful impact on DOLI's mission.

Requirements

  • Considerable recent experience in a professional administrative office setting providing customer service and administrative support.
  • Experience drafting routine correspondence, reporting generating, record keeping, and other related professional administrative office duties and program supports tasks.
  • Exceptional front-facing customer service skills, including the ability to de-escalate stressful situations and handle visitor inquiries courteously.
  • Demonstrated skill in the use of Microsoft Office Suite (Word and Excel) to complete office support transactions.
  • Demonstrated experience entering, tracking, and retrieving data in automated systems or databases.
  • Demonstrated ability to organize and prioritize work, meet multiple competing deadlines, and complete tasks in a timely manner with acute attention to detail.
  • Demonstrated ability to professionally communicate effectively (both written and verbal) with customers, employees, and other individuals to answer questions and disseminate or explain information courteously and professionally.
  • Experience working independently and as a team member with minimal supervision.

  • Bilingual fluency speaking, reading, and writing in Spanish.

Responsibilities
