About The Position

The Department of Labor and Industry’s (DOLI) Northwest Region Office is seeking an Administrative and Office Specialist III / Program Support Technician with exceptional customer service and communication skills. This position is the administrative support for the agency’s Northwest Region Office and serves as the first point of contact for employers and the general public, listening to complainants and referring them to the appropriate source. The role provides critical support to DOLI professional staff in Virginia Occupational Safety and Health (VOSH), Wage Protection Division, Consultation Programs, and the Voluntary Protection Program (VPP). It also acts as a liaison with Headquarters Offices staff to gather information. Duties include assisting callers and visitors, managing the phone and voicemail system, preparing and distributing mail, preparing correspondence, maintaining confidential records and data, managing physical and digital files, and providing administrative support to employees and programs. Requirements

  • Considerable recent experience in a professional administrative office setting providing customer service and administrative support to include drafting routine correspondence, reporting generating, record keeping, and other related professional administrative office duties and program supports tasks.
  • Exceptional front-facing customer service skills, including the ability to de-escalate stressful situations and handle visitor inquiries courteously.
  • Demonstrated skill in the use of Microsoft Office Suite to include Word and Excel to complete office support transactions.
  • Demonstrated experience entering, tracking, and retrieving data in automated systems or databases.
  • Demonstrated ability to organize and prioritize work, meet multiple competing deadlines, and complete tasks in a timely manner while exhibiting acute attention to detail.
  • Demonstrated ability to professionally communicate effectively (both written and verbal) with customers, employees, and other individuals to answer questions and disseminate or explain information in a courteous and professional manner.
  • Experience working independently and as a team member with minimal supervision.

  • Bilingual fluency speaking, reading, and writing in Spanish.

Responsibilities

  • Serve as the first point of contact for employers and the general public.
